Duties Description Duties include, but may not be limited to:
• Provide administrative support to executive staff in the central office.
• Coordinate meetings and events, including scheduling and sending calendar invites.
• Prepare and submit travel vouchers in the State Financial System.
• Draft and manage official correspondence on behalf of the executive team.
• Handle and distribute incoming and outgoing mail.
• Track and manage important assignments, including Governor’s Office communications.
• Answer and screen phone calls from government officials, veterans, and their families, ensuring proper assistance or message-taking.
• Maintain organized records and correspondence files for executive staff.
• Scan and digitize paper files in an organized manner on the shared drive.
• Ensure a professional and welcoming office environment.
• Take and distribute meeting minutes for executive meetings.
• Complete all required state and department trainings on time.
• Perform other duties as assigned.
Note:
• Travel is required (approximately 15%), including evening and weekends, depending on mission and assignment.
• Possession and maintenance of a valid Driver’s License issued by the NYS Department of Motor Vehicle is required or otherwise demonstrate the capacity to meet the transportation needs of the job.
Minimum Qualifications Current New York State employee with one year or more of qualifying permanent service in a position allocated to a Grade 13 or above and eligible for transfer under Section 70.1 of the Civil Service Law.
NOTE: IN ORDER TO AWARD THE PROPER CREDIT FOR WORK EXPERIENCE, RESUMES MUST INCLUDE MONTH AND YEAR FOR START AND END DATES. IF ANY OF THIS EXPERIENCE IS LESS THAN FULL TIME YOU MUST INDICATE THE AVERAGE NUMBER OF HOURS WORKED PER WEEK.
