Duties Description Under the direction of a Human Resources Specialist 1, the Program Aide must be able to perform the following essential functions:

Utilize a variety of software, word processing, and database applications to make inquires, updates and changes to various systems, databases and spreadsheets. Learn, maintain, and update skills in computer technology.

Maintain eligible lists/certifications and canvass responses in appropriate databases

Request eligible lists/certifications and canvass via appropriate method – letter, email, telephone; receive, organize, and track responses and forward to hiring program.

Assist in the review of responses to job postings to identify candidates meeting the qualifications; forward qualified candidates to hiring program.

Review various types of transactions and supporting documentation submitted by program areas for accuracy and completeness.

Prepare, track and submit accurate and timely Personnel transactions.

Creating reports and tracking information in Empire and Cognos

Assist in the review, evaluation and analysis of reports; process updates and corrections as needed.

Serve as a liaison between program area staff, personnel, and payroll staff to effectuate necessary changes and corrections to day to day employee staffing transactions.

Communicate effectively via telephone, in writing and/or in person with a variety of staff, other agency personnel and internal and external employment candidates.

Maintain confidentiality of information and exercise good judgement.

Multi-task and prioritize assignments; organize workload and files.

Meet the Department time and attendance rules and regulations.

Minimum Qualifications The ability to fill this/ these position(s) is subject to DOB guidelines for processing personnel transactions. Note: A budget waiver is not required to fill positions via transfer to lateral or downward level positions within the same Department or to change line items within the same funding source; or to replace employees who have been terminated during their probationary periods. The selected candidate must be eligible for appointment in accordance with the provisions of the Civil Service Law, Rules, and Regulations.
