Duties Description The Administrative Assistant 1 for the Beard Wellness Center is responsible for providing administrative support to ensure the smooth and efficient operation of the center. This position plays a key role in managing appointments, maintaining records, assisting with budget tracking, and providing excellent customer service to students seeking health and counseling services. The ideal candidate will have strong organizational skills, attention to detail, and experience in administrative support in a healthcare or academic setting.
Key Responsibilities:
Appointment Scheduling and Lobby Management:
Schedule and manage student appointments for medical and counseling services.
Provide oversight for the appointment calendar and schedules for multiple providers
Ensure lobby is open at 8:00 AM.
Electronic Medical Record (EMR) Management:
Accurately enter and update student information in the electronic medical records system.
Ensure confidentiality, compliance with regulations regarding student health data, and manage EMR interface with campus systems.
Budget Tracking and Support:
Assist in tracking expenditures for the Wellness Center's budget.
Process purchase orders and track inventory of supplies.
Student Assistance and Communication:
Serve as the primary point of contact for students seeking appointments or information about available services.
Provide excellent customer service by answering calls, responding to emails, and assisting students in a professional and friendly manner.
Provide general information about the Wellness Center's services and policies.
Ask sensitive screening questions when appropriate to assist in risk management and appropriate service delivery.
General Administrative Support:
Perform general clerical duties, including filing, data entry, and preparation of reports.
Assist in organizing and coordinating events, workshops, and outreach activities related to health and wellness.
Manage and maintain office supplies, ensuring the Center is well-stocked and organized.
Liaison Responsibilities:
Serve as a liaison between the Wellness Center and Information Technology Services (ITS) to ensure the smooth operation of software, systems, and technical resources.
Coordinate with the Facilities team to ensure the center is well-maintained and that any facility-related issues are addressed in a timely manner.
Forms Development and Process Improvement:
Assist in the development and updating of forms, templates, and other administrative and clinical documents to ensure efficient operations and ease of use for students and staff.
Suggest and implement improvements to office processes to increase efficiency and improve service delivery.
Minimum Qualifications Eligible for appointment from the Administrative Assistant 1 / Administrative Assistant Trainee list, OR
Eligible for reappointment or transfer into the Administrative Assistant 1 / Administrative Assistant Trainee position, OR
Eligible for promotion from the Office Assistant 2 (Keyboarding) position, OR
For Administrative Assistant 1 - Two years of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration. The selected candidate must pass a keyboarding test that demonstrates the ability to enter text at a rate of at least 30 words per minute with at least 96% accuracy by completion of probation,
Certification (e.g., IAAP Certified Administrative Professional) or associate's degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology substitutes for two years of experience.
For Administrative Assistant 1 Trainee - Six months of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration. The selected candidate must pass a keyboarding test that demonstrates the ability to enter text at a rate of at least 30 words per minute with at least 96% accuracy by completion of probation.
