Duties Description Reporting to the Public Programs Bureau Director, the incumbent of the Parks and Recreation Aide 7’s duties include, but are not limited to:
• Serves as primary point of contact for the Bureau.
• Schedules meetings for the Bureau (virtual and in person), including agenda preparation and taking meeting minutes.
• Assists in event coordination for the Bureau and its four Sections.
• Serves as primary tracker of the Bureau’s budget.
o Run SFS reports
o Reconcile Pcard transactions
o Track all Bureau spending.
• Coordinates travel for Bureau staff including processing of travel expense in SFS.
• Supports Bureau purchasing and procurement including creating purchase orders and processing Bureau supply orders.
• Assists with service contracts.
• Coordinates Bureau’s social media content and news with Public Affairs.
• Responsible for the Bureau’s Docusign account, including the review and submission of material in the system and general account maintenance.
• Manage Passage Point system for the Bureau, entering and modifying visitor records as needed.

Minimum Qualifications There are no minimum qualifications per Civil Service.

Additional Comments DURATION: Long-term, temporary and seasonal position depending on funding and operational needs.


DESIRED COMPETENCIES:
• Relevant experience in an office setting preferably in an administrative role.
• Excellent time management and organizational skills, ability to prioritize, and comfortable working independently.
• Experience in editing professional documents.
• Proficient computer skills, including with Microsoft Office Suite (Teams, Word, Excel, PowerPoint etc.).
• Strong attention to detail.
• Strong team-based awareness, through communication and team-based interpersonal skills.
• Proclivity towards maintaining a daily goal-oriented task list.
