Minimum Qualifications One year as an Office Assistant 1; or one year of permanent service in a clerical or keyboarding title allocated to Grade 5 or higher and candidate must have permanent appointment in a Office Assistant 2 (Keyboarding) classified position (or be eligible for transfer) or be reachable for appointment on the current NY State Civil Service eligible list for Office Assistant 2 (Keyboarding), Full-Time, Brockport location.

Duties Description Position Summary:

The AACSB-accredited School of Business & Management invites applications for an Office Assistant 2 (Keyboarding) in the Center for Student Success. The Center for Student Success is designed to support the School’s goal of attracting, supporting, and retaining high caliber students, engaged alumni, and top level employers. The Center is structured to provide a customer service-oriented and holistic level support throughout a student’s life cycle at the School. The vision for the Center is to provide a vibrant hub for student interaction and enthusiasm that students will remember throughout their careers and lifetime. This position reports to the Director of the Center for Students Success housed in the School of Business & Management.

Essential Functions:

Office Support/Administration

Responds to inquiries to the Center for Student Success (CSS), including phone calls, voicemail and email messages. Answer questions and communicate School and College policies to students and external constituencies. Ability to communicate basic information clearly and politely.
Maintains professional demeanor in interactions with internal and external stakeholders and responds promptly to all inquiries.
Greets visitors and students. Responds to standard inquiries regarding program activities and procedures and refers technical questions to appropriate staff.
Provides other office support as needed; copies documents, keeps files in CSS up to date, files student advising paperwork. Submits work requests/tickets to other campus offices as requested on behalf of staff.
Uses various computer programs such as standard word processing, spreadsheet, database management, desktop publishing, and integrated software packages to efficiently and accurately produce requested documents.
Maintains calendar of appointments for CSS staff including: Director, Academic Advisement Coordinator, and Career Services Coordinator.

Academic & Career Advisement Support

Proactively reaches out to newly deposited transfer students by phone and e-mail to welcome them and encourages prompt registration appointments with CSS staff.
Schedules advising appointments and sends confirmation e-mails to students.
Processes course request forms after being reviewed by professional staff and sends appropriate communication to students.
Maintains spreadsheet of conditional course requests and sends required e-mail communications to students prior to enrolling them in courses. Proactively monitors and follows-up with students and ensures conditions were met and communicates in writing to them regarding outcomes.
Distributes Notice of Award and Course Approval forms to the appropriate faculty members and follows-up to ensure review and completion on a timely basis. Contacts students by e-mail regarding outcomes.
Supports business outreach and recruitment initiatives organized by the Center; schedules appointments with employers, schedules on-campus interviews, arranges site visits, handles logistics for events, etc.
Performs other duties within the Office Assistant 2 (Keyboarding) class title as assigned to support the mission of the School and Center for Student Success.
