Minimum Qualifications Open to New York State Employees:
Candidates must be reachable for appointment from the current Civil Service eligible list for the title;

OR

Transfer Opportunity - Candidates must have permanent status as a Secretary 2, Grade 15, and be eligible for lateral transfer;

OR

Be eligible for transfer via Section 70.1 of the Civil Service Law. To qualify for Section 70.1 transfer, candidates must have at least one year of permanent status in a title approved for transfer by Civil Service within two salary grades of the Grade 15 level.

Candidates who have not previously served in a keyboarding title must demonstrate adequate keyboarding skills (i.e. the ability to type 30 words per minute with at least 96% accuracy) by passing the Keyboard Specialist performance test.

Duties Description As a Secretary 2, you will perform essential secretarial responsibilities, assisting in ensuring efficient and effective operations and coordination of the Clinical Director’s Office and Medical and Psychiatric Services at New York State Psychiatric Institute. Duties include but are not limited to routine office work including filing, inter-hospital memos, outside correspondence, answering telephones, taking messages appropriately and directing emergency clinical calls. The incumbent will prepare and coordinate the Physician’s Extra Service Program – scheduling evening, weekend and holiday coverage, completing payroll vouchers and preparing and submitting monthly reports to Central Office; will prepare Credentialing & Privileging portfolios for newly hired and re-privileged staff physicians to comply with JC mandates; will attend and create a record of all Medical staff meetings – Pharmacy and Therapeutics, Infection Control and Emergency Medical Services, etc., prepare inpatient Admission Summaries, and type and distribute Consent Letters.

Prospective appointees will be: 1) Checked against the Staff Exclusion List (SEL) maintained by the Justice Center for the Protection of People with Special Needs. Prospective employees whose names appear on the SEL as having been found responsible for serious or repeated acts of abuse or neglect will be barred from appointment and may have their names removed from the eligible list(s) for the title(s) if applicable. 2) Investigated through a Criminal Background Check (CBC) that includes State and federal Criminal History Record Checks. All convictions must be reported; conviction of a felony or misdemeanor, or any falsified or omitted information on the prospective appointee’s employment application may bar appointment or result in removal after appointment. Each case will be determined on its own merits, consistent with the applicable provisions of State and federal laws, rules, and regulations. Prospective employees will be fingerprinted in order to obtain a record of their criminal history information, and may be required to pay any necessary fees. 3) Screened against the Statewide Central Register of Child Abuse and Maltreatment (SCR). Prospective employees may be required to pay any necessary fees. Additionally, prospective employees whose names are indicated on the SCR may be barred from appointment.

This position is eligible for a Downstate Adjustment of $3,026.
