Minimum Qualifications For Permanent Appointment:
Candidates must be a permanent Secretary 1, G-11, or reachable on the appropriate Civil Service eligible list for Secretary 1, G-11, or eligible for a 70.1 transfer.

Note: Transfer candidates must possess the ability to type 35 words per minute corrected, as demonstrated by passing the Keyboard Specialist performance test, or by prior service in a Keyboarding title.

Duties Description The candidate will be responsible for general typing, filing, copying, scanning, faxing and preparing correspondence; prepare, modify and edit Excel spreadsheets, Access databases, Word fillable forms, Publisher documents and other internal computer programs. The incumbent will type/review outgoing letters/memos for proper grammar, spelling and format; perform internet research on the park in general, equipment, parts, patron use items, and other necessary topics; process incoming correspondence; prepare material for approval/signature, distribute to appropriate staff/file accordingly; develop and maintain filing systems (paper and electronic) to manage various records and documents; provide confidential assistance in areas of counseling memos, grievances, and employee evaluations; purge files in accordance to the agency’s retention schedule; take draft concepts and develop basic forms, ads for promotion, fact sheets, maps and other documents using MS Publisher or other basic desktop publishing software; perform internet research on the park in general, equipment, parts, patron use items, and other necessary topics; perform credit purchasing, reconcile purchases, organize copies of receipts and manage use of cost centers to ensure spending is charged against appropriate budget accounts. The incumbent will provide courteous phone service, handle inquiries when possible or direct inquiries to appropriate staff/department and provide backup administrative assistance to other office staff with telephone coverage and the processing of incoming/outgoing mail. The incumbent will manage supervisor's schedule/calendar by scheduling meetings/conference calls/events, send Outlook invites to participants and make travel arrangements and process transactions in agency database. For meetings, the incumbent will schedule, compile/organize agenda items, organize/distribute reports, and provide meeting minutes utilizing Dictaphone. The incumbent will provide courteous service to patron and staff inquiries/visits; assist Park Supervisors and Managers in the scheduling of public events/location reservations; utilize reservation system to research patron inquiries and complaints; interact and assist with basic inquiries from friends and user groups; conduct follow up research on basic questions and inquiries.
