Duties Description POSITION DESCRIPTION:

This position will provide support to the Treatment Team Leader on the Onondaga County Family Care/Medical Team. The Secretary 1 will provide critical administrative support to the TTL ensuring communication, production of services, data reports and tracking activities related to the delivery of services within the Family Care/Medical Team.






PRIMARY DUTIES AND RESPONSIBILITIES:
• Provide administrative and clerical support to the TTL.
• Receptionist for the Medical/Family Care Team, answer telephones, screen calls, and take messages. Greet the public and employees in a courteous manner
• Maintain supplies and forms for the FC Home Liaisons and Medical Team
• Maintain Family Care Team Shared Drive and record, type and distribute team meeting minutes.
• Maintain travel schedules and travel vouchers for the FC team.
• Create, update, maintain and protect data in Excel databases for the FC team.
• Responsible for typing both confidential and general documents and correspondence submitted by FC team, (primarily correspondence, meeting minutes, e-mails, memos, reports, etc.).
• Have Knowledge of Publisher and Power Point to create training materials.
• Knowledge of the TABS (Tracking and Billing System) to enter data for FC billing, transportation, tracking and DDP2 profiles.
• Knowledge of Microsoft Exchange e-mail system.
• Responsible for the operation and maintenance of a variety of office equipment.
• Responsible for maintaining bulletin boards, procedure manuals, office filing system and various tracking systems.
• Maintain Family Care Team filing system, as required and compile information as needed.
• Coordination of Team events.
• Participate in meetings as required.
• Miscellaneous duties as needed for support of the staff.
• Successful candidate will have good communication skills, be well organized, and effectively coordinate office procedures.
• Maintain data bases (Training, evaluations, etc.).

Additional Comments SELECTION CRITERIA
Candidates will be expected to demonstrate and will be evaluated against the following criteria:
• The ability to work independently with minimal supervision.
• The ability to present ideas clearly and effectively in the preparation of correspondence and reports and in dealing with people on the phone and in person
• The ability to efficiently and effectively obtain and transmit information to and from various DDSO’s and outside agency staff.
• The ability to effectively follow up on correspondence and phone calls when needed in the absence of supervisor.
• The ability to schedule meetings with proper notification & attend meetings for recording minutes as needed.
• Working knowledge of computers, Windows XP, Microsoft Word, Excel, Vax network, and willingness to learn other computer programs.
• The ability to readily adapt to new assignments, complex tasks and changing priorities.
• Possess an acceptable attendance record and work record (e-file).
• Ability to complete typing and other clerical staff duties in an accurate and timely manner.
