Duties Description The incumbent of the position will serve as the Administrative Assistant 2 to the Director of Business Administration providing administrative support to the Director and Assistant Director as directed. The incumbent will report to the manager of the Centralized Administration Unit within Business Administration and perform a full range of duties, including, but not limited to the following:

• Perform administrative tasks and functions for the Director and Assistant Director of Business Administration and where appropriate, Departmental managers.
• The incumbent will be expected to uphold and maintain strict confidentiality.
• Multi-task with reception duties (including field/transfer calls and greet/escort visitors).
• The incumbent will be expected to exercise a high and consistent degree of customer service when responding to telephone, email and walk-in requests.
• Manage calendars, shared mailboxes and Teams channels as assigned.
• Lead in the planning and preparation for staff meetings including the creation of agendas and supporting materials.
• Make travel arrangements and process travel vouchers in SFS.
• Transmit personnel-related matters and forms to appropriate staff.
• Draft letters and other documents for review and signature.
• Process and track documents both to and from other departments, organizations, and agencies.
• Prepare reports, write minutes, and summarize meeting conclusions.
• Provide additional administrative support for Safety and Health Committee meetings.
• Create, maintain, and archive records consisting of both paper and electronic documents.
• Perform basic budgeting and purchasing activities, processing/tracking SFS requests (ex. ordering supplies, using P-Card, etc.) and other personnel related tasks (forms prep, on-boarding new hires, scheduling interviews, etc.)
• The incumbent must have a working knowledge of Microsoft Office software used for word processing, spreadsheet development, database and project management.
• Utilize various software for project, work order, incident and request tracking and processing.
• Track progress and provide support for interdepartmental projects.
• Undertake special assignments as requested in support of Business Administration initiatives
• Perform other duties as assigned.

Minimum Qualifications If Civil Service Eligible list(s) exist, they will be canvassed. You may also apply if you are eligible for appointment by one of the following qualifications:

Subsequent 55 B/C Qualifications:
A subsequent 55b/c appointment may be considered if you have one year of permanent or contingent-permanent service in a Grade 13 or higher title determined to be similar by Civil Service and have a current Civil Service 55b/c approval letter.

Reassignment Qualifications: (DOL EMPLOYEES ONLY)
Current Department of Labor employees only, with at least one year of permanent, contingent-permanent, or 55b/c service in an Administrative Assistant 2; if you have less than one year, you must be reachable on the current Administrative Assistant 2 eligible list for this location, if one exists.

52.7 Non-Competitive Promotion (NCP) Qualifications: (DOL EMPLOYEES ONLY)
To be eligible for NCP, candidates must be in the Department of Labor promotion field and have one year or more of permanent, contingent-permanent or 55 b/c service as an Administrative Assistant 1. If 3 or fewer qualified Department of Labor Administrative Assistant 1 respond to this posting, Civil Service may approve the permanent appointment of one of the qualified Administrative Assistant 1 without further examination.
Note: Non-competitive refers to not competing in an examination; the appointment will be competitive.

Provisional Qualifications: (DOL EMPLOYEES ONLY)
One year of permanent competitive, non-competitive NY HELPS*, or 55-b/55-c service as an Administrative Assistant 1, Administrative Assistant Trainee 1, or Administrative Assistant Trainee 2. The appointed candidate would have to take, pass and be reachable on the next holding of the examination to be appointed permanently.

70.1 Transfer Qualifications:
One year of permanent or contingent-permanent as a Grade 13 or higher determined to be similar by Civil Service.

Additional Comments Position specific job duties may include occasional altered work schedule or job assignments which require availability and willingness to work occasional evenings and/or out-stationed assignments.
