Duties Description The Office Assistant 2 (Calculations) will be responsible for the review of daily census and completion of any updates to paysource information for patients.

The incumbent is responsible for the completion of any paysource setups/chart creation for new patients, leave of absences, and coverage changes.

The Office Assistant 2 (Calculations) oversees the monthly billing preparation of patient charting (record keeping, insurance verification, coverage or eligibility updates, correct set ups in paysource screens). As well as monthly billing (run preliminary coverage reports, verify for accuracy, run billing through billing program, claim creation and processing). They will bill primary, secondary, tertiary, and long-term care claims to insurance.

They are responsible for processing ancillary billing, as well as billing follow up (payment tracking, analyzing payments for irregularities, accuracy, and completeness, ensure payment is received and not over or underpaid, claim research for denials, insurance phone calls, aged account review/research, completion of necessary write off’s.)

The Office Assistant 2 (Calculations) will Research and calculate under or overpaid claims and determines final resolution. They will contact payers on incorrectly paid claims completing resolution and adjudication and adjusting accounts, or processes insurance refund credits. The incumbent will review and advise leadership on incorrectly paid claims from specific payers and work with leadership on communication to payer representatives regarding payment trends and issues

The Office Assistant 2 (Calculations) researches and responds to third party correspondence, receives phone calls, and explains policies and procedures involving routine and non-routine situations. Along with assisting with patient related questions. The incumbent is responsible for communicating and coordinating with other departments to resolve claim issues and will assist with all audits as needed.

Minimum Qualifications Reassignment: Current New York State Department of Health Veterans' Home at Montrose employee with permanent or contingent permanent status as a Office Assistant 2 Calculations.

Transfers: Current New York State employee with one or more years of permanent, contingent-permanent, or 55 b/c service in a position eligible for transfer under Section 70.1 of the Civil Service Law to Office Assistant 2 (Calculations). Promotion Provisional Appointment: In the absence of an eligible list with three or more candidates willing to accept a position, a temporary provisional appointment may be considered. For provisional appointment, candidates must meet the following minimum qualifications: Be a current NYS Department of Health employee with one year as an office assistant, clerical, or keyboarding title allocated to Grade 6 or higher. Open Competitive HELPS qualifications: One year of experience where most work time is spent performing mathematical operations, and/or clerical activities related to mathematical operations.

Preferred Qualifications: The Preferred candidate will have experience working in a centralized billing office.

Additional Comments Work hours will be determined upon hiring from the following shifts: 8:00 AM – 4:00 PM, 8:30 AM – 4:30 PM, or 9:00 AM – 5:00 PM.
