Duties Description Maintain and audit the CIAS Register Requestor database, which houses all NYSIC contacts, to include specific key distribution lists (i.e.: Field Intelligence Officer List, Regional Coordinator List, and Jail Intelligence Officer List).

Communicate regularly with NYS Local Law Enforcement Executives to ensure their agency has at least one Field Intelligence Officer and Jail Intelligence Officer assigned.

Monitor the Field Intelligence Officer email inbox and respond or triage all incoming communication from the field.

Assist in the planning and administrative duties required for Field Intelligence Officers’ Training Courses and associated trainings.

Prepare and review travel and training orders for the NYSIC employees and support agencies, including the Field Intelligence and Jail Intelligence Officers.

Assist in the planning, procurement and purchasing, and other designated duties for symposiums and conferences hosted by the NYSIC, including the annual FIO/JIO Conference.

Maintain the state-wide meetings and trainings calendar, which requires communication and coordination with the NYSIC’s Counter Terrorism Center (CTC), Counter Terrorism Intelligence Units (CTIU), Crime Analysis Centers (CAC), local law enforcement, and other State/Federal partner agencies.

Compile and disseminate designated NYSIC reports.

Assist the NYSIC Training Coordinator with maintaining training records, certificates, and documentation.

Support other day-to-day operations by answering the telephone, maintaining records and files, receiving documents, data entry, photocopying, and other clerical tasks as required.

Perform all other necessary administrative duties and projects as directed by the FIO Senior.

Minimum Qualifications One (1) year of permanent service as a State Police employee in an SG-9 position or higher;

OR

Two (2) years of permanent service as a State Police employee in an SG-6 position or higher.

OR

High School diploma and two years of experience in administrative support, which includes use of office software (e.g., email, word processing), customer service, business writing, and management of an office.

Preference will be given to candidates with:
An Associate’s Degree.

Administrative support experience and knowledge of proper office procedures, including experience with conventional and electronic data filing systems.

Proficiency in the operation of personal computers and various software including Microsoft Word, Outlook, Access, Excel and other State Police systems and databases.
