Duties Description The Office Assistant 2 (Keyboarding) SG9 will be assigned to serve as a lead clerical support staff member in a busy, administrative office that provides administrative services to Department of Health (DOH) programs within the Metropolitan Area Regional Office (MARO) and receives a high volume of visitors and communications from members of the public as well as DOH employees and program liaisons. Reporting to professional administrative staff, the incumbent of this position will perform the full range of supporting clerical duties which will include sorting and opening mail, answering phone calls from the public and other government agencies regarding personnel-related matters, handling any visitors and new employees, and assisting with all other clerical tasks as needed. The incumbent will assist professional staff in regional recruitment activities and may be assigned activities such as reviewing incoming recruiting requests and drafting responses where appropriate, drafting template letters based on prior outlined personnel policies and procedures, tracking and coordinating interviews of potential candidates, and assisting with other recruiting activities as assigned. The incumbent will also be responsible for creating and managing electronic filing systems; using various information technology applications such as email, spreadsheets, SharePoint and word processing applications; entering data and information into spreadsheets and Microsoft Office applications; operating office equipment such as printers, scanners, and copiers, and working with operations management staff to arrange for repairs when equipment malfunctions; maintaining and coordinating the scheduling of department meetings and/or conferences, including assisting with the arrangement and set up of technological needs during meetings and conferences and drafting, typing and distributing meeting notes and correspondence, and performing other duties as requested by Administration management.
Minimum Qualifications NY HELPS: One year of full time clerical experience where most of the worktime is spent performing keyboarding, data entry, chart compilation or arrangement, or various tasks involving typing into computerized systems. OR Permanent Transfer Opportunity: Current New York State (NYS) Department of Health (DOH) employee with permanent or contingent-permanent service as an Office Assistant 2 (Keyboarding), SG9, OR a current NYS employee with one year or more of permanent or contingent-permanent service in a title at or above a SG7 and eligible for transfer under section 70.1 of the Civil Service Law. OR Provisional Promotion: NYS DOH employee with one year or more permanent or contingent-permanent service as an Office Assistant 1 (Keyboarding), SG6 or in a qualifying title as defined on the announcement for examination 38-695010 (https://www.cs.ny.gov/announarchive/announcements/38-687010.cfm?live=false).
Preferred Qualifications: Six months or more of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration.

In addition to the listed base salary, this position will also receive a $4,000 annual Downstate location adjustment.
