Duties Description The Training Data Assistant supports the Training Unit in the management and reconciliation of training data within the Statewide Ethics Training Application (SETA). SETA is the application utilized to track the ethics training compliance of over 330,000 employees statewide. The Training Data Assistant is responsible for data entry, researching and resolving data discrepancy issues, managing the overall quality control of training data, and assisting users of the system through outreach and helpdesk support.
The Assistant is also responsible for auditing and reporting on training data, supporting trainers, and ensuring data accuracy and compliance. Duties will include:
Data Management & Maintenance:
• Accurately entering data into databases and systems, ensuring data integrity and consistency.
• Maintaining and updating databases, ensuring data is organized and accessible.
Data Extraction & Reporting:
• Creating reports, extracting data, and formatting it for various purposes, including training needs assessment and program evaluation.
• Following protocols and internal controls for handling training data and ensuring compliance with relevant regulations.
User Support:
• Interacting with various stakeholders, including trainers, trainees, and IT staff, to ensure smooth training operations.
• Contributing to the development and improvement of training processes and procedures.
• Providing assistance to users of SETA, answering queries about schedules, enrollment, training rosters and completion information.
Other Responsibilities:
• Document Management: Organizing and archiving training-related documents, both physical and digital.
• Perform other duties as assigned in support of the agency’s mission or other program areas.
Minimum Qualifications • Education: Bachelor’s degree or 3-5 years relevant experience.
• Technical Skills: Proficiency in data entry, database management, and Microsoft Office Suite (Excel, Word, PowerPoint).
• Organizational Skills: Ability to manage multiple tasks, prioritize work, and maintain detailed records.
• Attention to Detail: Accuracy and meticulousness in data handling and documentation.
