Duties Description Under the direct supervision of the New York City Director of Administrative and Computer Services, performs duties related to office services, maintenance, and transportation needs of the Executive Chamber.
Duties:
Coordinate logistics for events, including press conferences, bill signings, and various meetings for the Governor and Executive Chamber staff at the NYC office.
Identify location and routes to and from scheduled events; prepare and recommend contingency plans for travel routes.
Establish contact information, meet organizers, security, and event personnel to determine agenda, logistics, and schedule of events.
Set up and break down any space where special events are taking place.
Coordinate and maintain acquisition of assets and logistics of office moves.
Coordinate and transport mail, furniture, tech equipment, and other assets between sites downstate, as needed
Assist staff and prepare work orders for general office maintenance, furniture and equipment repair. Maintain accurate furniture and equipment inventory.
Manage mail and shipping processes and handle supply requests in collaboration with OGS.
Manage master key inventory, issue and track keys provided to staff.
Organize and manage emergency go bags for staff, including inspection and replenishment of contents.
Responsible for maintaining assigned State vehicle and transporting Senior Staff, as needed, and coordinate and plans the travel logistics for Senior staff.
Other related duties as required.
Minimum Qualifications Minimum Qualifications:
At least three years of relevant experience, such as property or space management, warehouse and inventory operations, purchasing, fleet or parking management, telecommunications, mail room operations, printing, or records management and retention. In addition, candidates must possess a valid New York State driver’s license. Proof of this will be required at time of interview.
This position will require the incumbent to exercise a great deal of independent judgment in handling and resolving issues as they occur. The successful candidate will demonstrate resourcefulness, discretion, enhanced driving and navigation skills, and will also have prior professional experience interacting with high level municipal and government officials.
The incumbent of this position will serve at the pleasure of the Governor. Travel is expected to be 80-100% of this position and may require night and weekend hours.
