Duties Description The New York State Department of Financial Services seeks to build an equitable, transparent, and resilient financial system that benefits individuals and supports business. The Department of Financial Services is seeking candidates for the position of Administrative Assistant 2 in Health Bureau. Duties include, but are not limited to, the following:

• Organizes and coordinates the Bureau’s administrative activities: answers telephone calls, greets visitors and staff; handles incoming correspondence and drafts responses; relays supervisor’s instructions to staff and follows up to ensure deadlines are met;
• Maintains responsibility, as a liaison, on the SFS and Employee Profile System, Project Sunlight Database, and FOIL Tracking System;
• Under the direction of Deputy and/or Assistant Chief, schedules meetings, calls and conferences; contacts necessary staff and company personnel; organizes work material in preparation for meetings;
• Manages ongoing communications with external Companies and Department staff;
• Promptly schedules and prepares of relevant meetings and communications;
• Schedules travel arrangements and prepares expense reports for Deputy Chief and Assistant Chief;
• Assists staff in the coordination of various activities, projects and training programs within the Bureau;
• Maintains the Bureau’s personnel files including keeping abreast of various personnel reports such as Evaluations, Performance Programs, Probation Reports, etc;
• Designs office filing system; maintains efficient workflow; resolves day-to-day operational problems; follows up on projects and coordinates information flow by acting as liaison among key executives, staff and the public;
• Assists as needed to provide telephone coverage and other clerical assignments;
• Obtains information from various sources to generate documents dealing with personal or confidential matters;
• Supervises other clerical staff including making assignments, monitoring time and attendance, reviewing work product and completing evaluations; and
• Any other assignments necessary to conduct the affairs of the Health Bureau.

Minimum Qualifications Appointment Method:

List Appointment: Candidates must be reachable on the Civil Service eligible list for 31-053020.
Transfer: Candidates must have one year of permanent competitive service in a title eligible for transfer via Section 70.1 of the Civil Service Law. Information regarding transfer eligibility may be available on the Civil Service Career Mobility Office website at http://careermobilityoffice.cs.ny.gov/cmo/.

Please note that under Civil Service Law, an employee cannot have two consecutive upward 70.1 or 52.6 transfers without an intervening eligible list appointment if such transfers would exceed two salary grades.
