Minimum Qualifications NY HELPS:
Administrative Assistant Trainee 1 (Grade 8): High school diploma or high school equivalency diploma and six months of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration.
Administrative Assistant Trainee 2 (Grade 10): High school diploma or high school equivalency diploma, and one year of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and management of an office.
Administrative Assistant 1 (Grade 11): High school diploma or high school equivalency diploma; and two years of the above experience.
A certification (e.g., IAAP Certified Administrative Professional) or associate’s degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology may substitute for two years of experience.
The selected candidates must pass a keyboarding test that demonstrates the ability to enter text at a rate of at least 30 words per minute with at least 96% accuracy by completion of probation.
Transfer Opportunity: Current New York State employee with one year or more of permanent, contingent-permanent, or 55-b/c service as an Administrative Assistant 1 (formerly Secretary 1); OR current New York State employee with one year or more of permanent, contingent-permanent, or 55-b/c service in a position allocated to a Grade 6 and above and eligible for transfer under Section 70.1 of the Civil Service Law to Administrative Assistant Trainee 1.*
Preferred Qualifications: Ability to handle a fast paced environment. Experience with excel, outlook, SharePoint, adobe. Ability to effectively communicate between outside callers and programs staff. Ability to handle confidential information, handle scheduling for groups, and perform office related tasks such as filing, photocopying, and handling incoming and outgoing mail.
Duties Description tracking and maintaining all tasks assigned to attorneys in the Bureau’s electronic tracking system; manual filing; sorting mail; responding to inquiries from Department staff as well as outside callers; photocopying documents, and responding to general work needs of the attorneys; assisting with the routine maintenance of Bureau photocopiers, printers and all other office equipment; scheduling and arranging meetings and preparing materials for the meetings; and reserving conference rooms and making travel arrangements for staff attorneys as needed and requested.
