Duties Description Holding primary responsibility for administrative support to the Director of Community Development, this position performs a wide range of duties essential to daily operations. Responsibilities include, but are not limited to, coordinating travel arrangements for staff, managing department purchases, facilitating communication with students and campus constituents, and completing and processing required appointment paperwork. This role also involves effectively managing office traffic flow via phone, email, and walk-ins; scheduling and supervising student workers; and maintaining office operations by ensuring adequate inventory of supplies and proper functioning of office equipment. For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply.
Minimum Qualifications for applicants not currently civil service eligible for the title:
Administrative Assistant Trainee 1 – Six months of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration. To be advanced to the full performance level of this title you must successfully complete a set training and development program. Upon satisfactory completion of the 12-month training at the Trainee 1, you will automatically advance to Trainee 2.
Administrative Assistant Trainee 2 – One year of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration. To be advanced to the full performance level of this title you must successfully complete a set training and development program. Upon satisfactory completion of the 12-month training as a Trainee 2 you will advance to the full level of this title without further examination.
Administrative Assistant 1 – Two years of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration. Certification (e.g., IAAP Certified Administrative Professional) or associate’s degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology substitutes for two years of experience.
Additional Comments The offices of Community Living, Student Conduct, and Orientation are all housed within the Department of Community Development. We focus on helping students grow academically and personally as they are beginning their collegiate experience, living in a residence hall community, and learning from the choices they make along the way. The purpose of this position is to provide a full range of administrative support to the department. The position requires strong skills in communication, coordination, organization, file maintenance, database management, and prioritization. Core office hours are Monday through Friday, 8:00 a.m. to 4:00 p.m.

Important Notes for those appointed as a Trainee:
Successful completion of the traineeship requires taking eight courses in the following competencies: Professionalism and Self-Management, Verbal and Written Communication, Interpersonal and Customer Relations, and Computer Skills and Technology. It must include instruction in each of the following topics: office organization and management; business writing; customer service; and Microsoft Word basics.
