Duties Description This position will provide support for all administrative responsibilities of the Chair which are expected to include, but not be limited to, assisting with faculty travel, department purchases, preparation and submission of the master course schedule, and the completion and processing of necessary appointment paperwork. Effectively managing the office traffic flow via phone, email and/or walk in; scheduling and supervising work study students; and ensuring proper inventory of supplies for the office and that office equipment is properly functioning. For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply.
Minimum Qualifications for applicants not currently civil service eligible for the title:
Administrative Assistant Trainee 1 – Six months of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration. To be advanced to the full performance level of this title you must successfully complete a set training and development program. Upon satisfactory completion of the 12-month training at the Trainee 1, you will automatically advance to Trainee 2.
Administrative Assistant Trainee 2 – One year of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration. To be advanced to the full performance level of this title you must successfully complete a set training and development program. Upon satisfactory completion of the 12-month training as a Trainee 2 you will advance to the full level of this title without further examination.
Administrative Assistant 1 – Two years of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration. Certification (e.g., IAAP Certified Administrative Professional) or associate’s degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology substitutes for two years of experience.
Additional Comments The purpose of this position is to provide a full range of clerical support to the Social Work Department. The position requires strong skills in communication, coordination, organization, file maintenance, data base management, and prioritization. The department is part of the School of Education, Health, and Human Services which prepares students for successful entry into their profession. We focus on an ethical approach to human well-being and encourage critical thinking and practical application. Core office hours are Monday through Friday, 8:00 a.m. to 4:00 p.m.

Important Notes for those appointed as a Trainee:
Successful completion of the traineeship requires taking eight courses in the following competencies: Professionalism and Self-Management, Verbal and Written Communication, Interpersonal and Customer Relations, and Computer Skills and Technology. It must include instruction in each of the following topics: office organization and management; business writing; customer service; and Microsoft Word basics.
