Duties Description Under the supervision of the Executive Assistant, the incumbent of this position will provide secretarial support to the Deputy Commissioner and Counsel and the professional staff within the Office of Legal Services (OLS). The Administrative Assistant 2 will perform the following duties: provide phone coverage to the Deputy Commissioner and Counsel and other Attorneys within the office; schedule meetings for the Attorneys; prepare and proof-read documents and agenda, and format correspondence, memos, and bills; assist with State Records Retention schedules for OLS files; monitor Governor’s Correspondence emails and draft responses when necessary; order office supplies and furniture as needed and complete PR requests in Oracle; prepare travel arrangements for OLS staff, and submit completed forms to Finance; create procedures and instructions for various office functions; track and log subpoenas and mail received into OLS; and various other projects as needed.
Minimum Qualifications Permanent competitive service in this title or one year of permanent competitive or 55 b/c service in a title SG-13 or higher and otherwise eligible for transfer under Civil Service Law. Non-competitive Promotion (NCP) Qualifications: A permanent appointment may be possible pursuant to Section 52.7 of the Civil Service Law if there are three or fewer interested candidates who meet the following qualifications: Current DCJS employee and one year of permanent competitive or 55 b/c service in the title Administrative Assistant 1, SG-11.
