Duties Description The Office Assistant 2 will be responsible for a full range of purchasing activities for the Wadsworth Center’s Purchase Unit. The Purchase Unit’s mission is to facilitate purchasing in compliance with Department of Health rules and regulations as well as NY State Finance Law. The incumbent will hold a state credit card and be responsible for all activities related to processing credit card orders. Responsibilities include but are not limited to: review purchase request for completeness and compliance of NYS Finance Laws and DOH rules and regulations; work directly with end users to resolve incomplete information and/or obtain required supporting documentation; monthly credit card reconciliations; obtaining required documentation from vendors; and inform stakeholders of purchasing policies and procedures.
Minimum Qualifications Permanent Transfer: Current NYS employee with one year or more of permanent or contingent-permanent, competitive service as an Office Assistant 2 G-9, OR one year or more of permanent or contingent- permanent, competitive service in a position allocated to a salary Grade 7 or above and eligible for transfer under Section 70.1 of the Civil Service Law.
Provisional Promotion: Current NYS Department of Health employee with one year or more permanent or contingent-permanent, competitive status or 55-b/55-c service in an office assistant, clerical or keyboarding title allocated to Grade 6 or higher. Public Candidates (NY HELPS): One year of clerical experience.
Preferred Qualifications: Knowledgeable of Department of Health purchasing policies and New York State Finance Law; proficient in Microsoft Excel, Adobe Acrobat, and SFS software; experience managing and utilizing a Procurement Card (P-Card); effective communication skills, organizational skills, and effective time-management; and familiarity with performing clerical duties including recording and documenting transactions.
Additional Comments Dependent upon the initial assignment or subsequent reassignment of this position satisfactory background checks may be required. Additionally, exposure to potentially hazardous substances may be involved with this position; the selected candidate may be required to wear personal protective clothing and equipment and may undergo pre-employment and/or periodic health evaluations and receive specific immunizations.
Permanent, Competitive, full-time. Transfer candidates may be asked for SSN to verify title history and eligibility.

Employees must have one year or more of permanent or contingent-permanent, competitive service in qualifying titles as described on the last Civil Service promotion examination held for this title, #38-687. If certified by Civil Service, mandatory reemployment list candidates must be considered first for appointment to this title.
This position is part of the NYS HELPS program. No examination is required.
