Duties Description The Special Assistant to the Governor is a pivotal role that demands a dynamic, highly motivated individual with experience in project management, interdepartmental coordination, and communications. Reporting directly to the Traveling Chief of Staff, the incumbent will work in close collaboration with senior leadership to ensure seamless operations and effective collaboration across various agencies, teams, and departments. The incumbent will be expected to work closely with the Governor and assist her at events, as well as any special projects or other follow up she may have of them.
Key Responsibilities:
• Foster communication and collaboration between different departments. Assist the Traveling Chief of Staff in resolving any issues that may arise, ensuring all departments are working towards shared goals. Prepare for and conduct relevant follow-up on meetings, participating directly when needed and handling follow-up with relevant participants.
• Assist in the development of internal protocols (i.e., Events Guide, Staff Manual, etc.) that align with the organization's strategic goals and to streamline processes and improve efficiency. Ensure these policies are effectively communicated and implemented across the organization.
• Serve as a liaison between the Governor and various internal and external stakeholders. Manage correspondence directed to the Governor and the office, preparing draft replies to correspondence and organizing and prioritizing all electronic and regular mail correspondence. Ensure all communication is clear, timely, and effective.
• Provide administrative support to the Governor as needed.
• Staff events as the Governor’s body person, ensuring effective representation and communication. Perform other related duties and tasks as needed.
• As time allows, may oversee and manage diverse projects across different departments, ensuring timely completion and alignment with their intended objectives. Facilitate the advancement of critical projects by assisting with information gathering, stakeholder communication, project plan development and monitoring, and tracking responsibilities. Generate policy briefings and project-related documents, such as meeting agendas, work plans, and progress reports.
Minimum Qualifications Minimum Qualifications:
A Bachelor’s degree and at least 3 years of full-time, professional experience in a similar role, preferably within a government or political setting. A strong interest and knowledge of government and public policy highly desirable. A Master’s degree in a related field may substitute for one year of this experience. Additionally, up to four years of related experience may substitute for a bachelor’s degree.
Preferred Skills:
• Strong leadership and project management skills, certified Project Management Professional is a plus.
• Excellent written and verbal communication skills
• Strong organizational skills and the ability to manage multiple projects simultaneously
• Ability to handle sensitive information with discretion.
• Strong interpersonal skills and the ability to work effectively with a wide range of stakeholders.
• Strong research and analytical skills.
• Working knowledge of Microsoft Office, spreadsheets, and program management software.
• Ability to work a flexible work schedule (after-hours and weekends), and ability to travel on occasion.
