Duties Description The incumbent will report to the State Preparedness Training Center (SPTC) Training Unit. Duties include but are not limited:
• Complete monthly, quarterly and yearly data analysis on how many training courses are conducted.
• Produce reports based on detailed records of students who attend training at the SPTC.
• Research current external trends to explore new trainings to consider offering.
• Prepare, review, evaluate, and analyze a variety of reports and other documents related to SPTC training course deliveries.
• Collect, tabulate, and analyze data from respective software programs and other means of data collection.
• Develop, maintain, and update database programs related to staffing, training course deliveries and other areas related to the SPTC training program.
• Stay aware of upcoming training and the administrative tasks required for those trainings.
• Create monthly, quarterly, and yearly expense reports as needed.
• Liaise with Division of Homeland Security and Emergency Services (DHSES) and non-DHSES staff.
• Assist in the registration of prospective students for SPTC courses.
• Update reports to include enrollment numbers to executives when required.
• Ensure pre-requisites are met prior to enrolling students.
• Assist with the completion of student rosters for dissemination to appropriate agencies.
• Send appropriate correspondence to prospective students regarding enrollment status.
• Reconcile student registration data.
• Provide support for front desk operations.
• Post courses in the State Learning Management System (SLMS) as needed.
• Assist other office staff members with their duties and fulfill their duties in their absence.
• Assist with onboarding of new employees, including guiding new staff through the processes of setting up their network access as provided by ITS, accessing and using Leave and Accrual Tracking System (LATS), and setting up RSA tokens.
• Assist Senior Training Technician (Police) staff in maintaining and updating course content and materials.
• Perform other assignments and duties as required.
• Nights and weekends may be required.
Minimum Qualifications Current New York State Division of Homeland Security and Emergency Services employee with one year or more permanent, contingent-permanent or 55b/c service as a Program Aide and are interested in reassignment; OR Current New York State employee with one year or more of permanent, contingent-permanent, or 55b/c service in a position allocated to a Grade 11 or above and eligible for transfer under Section 70.1 as appropriate of the Civil Service Law.

Preferred Qualifications:
• Analytical skills needed to produce monthly, quarterly, and yearly reports.
• Knowledge of office procedures and methods including telephone communications, office systems, and record keeping.
• Skills to use a personal computer and various software packages including Word, Excel and Outlook.
• The ability to establish priorities, work independently, and proceed with objectives as required.
• Due to the nature of the position, this individual will have a high degree of interaction with many people of varying backgrounds on a daily basis. A high degree of interpersonal skills is required.
Additional Comments NOTE: Support of operations during times of emergency and disaster from State Emergency Operations Center (EOC), state field offices and/or local deployments may be required, which would result in a change and/or increase in working hours, locations and/or duties.
