Duties Description The Office of Mental Health (OMH) is currently recruiting to fill an Administrative Assistant 1, Grade 11, position in the Central New York Field Office located in Syracuse, NY. The incumbent will be responsible for essential administrative functions in support of the Field Office’s operations. Specific duties to be performed may include, but are not limited to, the following:
Provide clerical support to the Field Office which includes: answering phones, typing correspondence and reports; updating the County Directory when given new information; attending staff meeting and taking minutes; receiving and disseminating daily mail among Field Office staff members while bringing all priority issues to immediate attention; ordering office supplies from Central Office and outside vendors and maintaining the organization of the workroom and storeroom;
Act as the Statewide Financial System (SFS) travel proxy to submit travel expenses for all Field Office employees.
Organize meetings, workshops, trainings and events by: setting up meeting with Central Office, other State agencies and county providers; handling the setting up and registration at large workshops; coordinating mass mailings and emails; and copying and collating materials and phone inquiries
Coordinate training sessions for the various units within the Field Office by: creating email lists and mailings; coordinating registration; arranging for lunches and refreshments; ordering needed materials; scheduling training rooms; and ensuring required electronic equipment is available.
Work with the ITS staff and outside contractors to keep the computers, phones and other equipment within the Field Office working properly and up-to-date by: ensuring the office environment is functional and comfortable; working with HPC Work Control to address problems as they arise; assisting the IT Specialist from the Information Center at HPC with computer and software issues; and provide technical assistance to staff on an ongoing basis regarding email, electronic calendar, work processing, teleconferencing equipment, and other various computer issues.
Provide assistance to the Residential Treatment Facility (RTF) Specialist by processing the applications and providing requested clerical support. The Administrative Assistant 1 will also provide support in maintaining state vehicles. Ensures fleet vehicles are regularly maintained, oil changes and periodic maintenance work. Enters information in car maintenance logs and informs Administrative Assistant 2 of any issues and necessity for a vehicle to be removed from service for any length of time.
Minimum Qualifications Non-Competitive Appointment:
Candidates must have two years of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration.
The selected candidate must pass a keyboarding test that demonstrates the ability to enter text at a rate of at least 30 words per minute with at least 96% accuracy by completion of probation.
Transfer:
Candidates must have permanent status as an Administrative Assistant 1, Grade 11, and be eligible for lateral transfer; OR be eligible to transfer via Section 70.1 of the Civil Service Law.
Candidates who are not transferring from a keyboarding title must possess adequate keyboarding skills (i.e., the ability to type 30 words per minute with at least 96% accuracy) as demonstrated by passing the Keyboarding Performance Test.
Additional Comments The salary listed applies to candidates appointed to Administrative Assistant 1, SG-11. The salary for candidates appointed to Administrative Assistant Trainee 1 starts at $40,391 and, for current New York State employees, is based on the candidate’s salary at the time of hire.
