Minimum Qualifications Open to NYS employees with one year of permanent competitive service as an Administrative Assistant 1 OR in a title SG-9 or above appropriate for transfer under Section 70.1 of the Civil Service Law. The transfer cannot be a second consecutive transfer resulting in an advancement of more than two salary grades.**

Qualifications for Administrative Assistant Trainee, NS:

Also open to NYS employees in a title designated appropriate for Section 70.1 transfer to the title of Administrative Trainee 1 or Administrative Assistant Trainee 2. **

Salary range above applies to candidates appointed to Administrative Assistant 1, SG-11. Candidates hired into the traineeship will be advanced to Administrative Assistant 1 upon the successful completion of a two-year traineeship.

** Candidates that are not currently incumbering or have not previously held a keyboarding title will need to take and pass a typing proficiency exam to qualify for transfer. Depending on level of appointment, transfer may require successful completion of an appropriate keyboarding test AND completion of all core AND elective coursework.

**Incumbents will be required to take four mandatory courses the first year of the traineeship and four elective courses in the second year of the traineeship in four competency areas through the CSEA Partnership, or equivalent offerings through another entity as determined by the agency. All trainees are required to successfully complete all courses before advancing to Administrative Assistant 1, SG 11.

This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS)* and applicants must meet the following minimum qualifications to be considered for this position:

Administrative Assistant Trainee 1: Six months of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration. The selected candidate must pass a keyboarding test that demonstrates the ability to enter text at a rate of at least 30 words per minute with at least 96% accuracy by completion of probation.

Administrative Assistant Trainee 2: One year of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration. The selected candidate must pass a keyboarding test that demonstrates the ability to enter text at a rate of at least 30 words per minute with at least 96% accuracy by completion of probation.

Administrative Assistant 1: Two years of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration. The selected candidate must pass a keyboarding test that demonstrates the ability to enter text at a rate of at least 30 words per minute with at least 96% accuracy by completion of probation.

Duties Description Under the direction of the Economic Development, Housing and Government Business Solutions Director Lead, the Administrative Assistant 1 will be assigned to assist with the daily operations of the ITS CTO Economic Development, Housing and Government Portfolio Business Application Services team. Working with the Business Solutions Director Lead and other Portfolio Business Solutions Directors to assist in tracking Human Resource and Procurement related activities within the portfolio along with other administrative, organizational and support tasks.
Specific duties of this position include, but are not limited to the following:
• Advance level support functions working under broad guidelines;
• set their own priorities based on a review of the work to be performed and their knowledge of the program area and office procedures;
• Perform a wide range of responsibilities that include communication, coordination, organization and record maintenance;
• Track and coordinate assignments as needed and organize, process and submit records and reports in accordance with agency policies and procedures;
• Set up and maintain office filing systems and procedures, manage paper and electronic filing systems and update office manuals and databases;
• Receive, review, track and process incoming correspondence and prepare and edit draft responses and other documents where appropriate;
• Review outgoing correspondence for grammar, spelling, etc.;
• Compose and distribute correspondence and reports, and assist in the preparation of legal documents, responses to interrogatories, notices to admit and requests for documents;
• Make copies of various documents, including sensitive confidential material, and distribute to appropriate staff as needed;
• Maintain executive staff files and calendars, coordinate and arrange meetings, conference calls, agendas and project activities in an orderly manner;
• Maintain SFS, Budget and Procurement system records;
