Minimum Qualifications This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS).

For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply. At this time, agencies may recruit and hire employees by making temporary appointments. In May 2024, if a temporary NY HELPS employee is satisfactorily performing in the position, the appointment will be changed from temporary pending Civil Service Commission Action to permanent non-competitive and the official probationary period will begin.

At a future date (within one year of permanent appointment), it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.

COMPETITIVE MINIMUM QUALIFICATIONS:

Permanent service in this title or one year of permanent competitive or 55-b/c service in a title SG-4 or higher and otherwise eligible for transfer under Civil Service Law.

Duties Description The incumbent will be required to:

• Effectively utilize the Statewide Learning Management System (SLMS) by entering data and performing activities supporting class scheduling, courses and program management. Complete rosters in a timely manner.
• Ability to utilize Department issued software, including but not limited to: Microsoft Word, Microsoft Excel, and Outlook.
• Answer phone and email inquiries about the SLMS from internal and external customers and SLMS administrators in a timely and professional manner.
• Monitors Bureau shared mailbox inquires and responds in a timely and professional manner.
• Maintain room reservation calendar and make necessary entries as needed. Send reservation confirmations.
• Maintain equipment reservations and inventory of equipment; keep electronic records of all equipment reservations.
• Send reminder emails to customers and maintain incident log for rooms and equipment.
• Prepare class handouts, materials and print rosters in support of the scheduled classes. Inform instructors of when handouts, materials and rosters are ready. Ship material for District /Regional Office training based on schedule.
• Maintain TRB training rooms on a scheduled basis; ensure cleanliness of rooms, maintain supplies.
• Assist with office coverage, answering telephones and walk-in inquires and direct to appropriate staff.
• Various administrative duties as needed, such as photocopying, filing, and scheduling meetings.
• Assist with resolving SLMS Help Desk Tickets assigned to TRB.
• Provide technical support with meeting and training room equipment as needed.
• Ability to meet the Department time and attendance policy.
