Job Specifics

Duties Description The Office of Financial Administration is responsible for overall agency fiscal management and administering the procurement process. As the Department carries out key initiatives to transform the way services are delivered to partner agencies and to the public, this position will play an important role in ensuring the success of these modernization efforts.

The Facility Operations Assistant 2 duties in the Office of Financial Administration will include but are not limited to the following:

• The Facility Operations Assistant 2 is responsible for counting, checking, and packaging test booklets and materials for all state and local examinations. The staff member will also be responsible for preparing and recording detailed information about shipments on reports. Under the supervision of an Administrative Specialist 1, this position involves the rapid preparation of secure materials for pick-up, with observation to tight deadlines
• Staff member will also be responsible for regular receiving and unpackaging of test materials when boxes are received from Exam Security Designees at examination sites. The position will also include the audit, sorting, and preparation of materials for processing by the Department’s Testing Services Division at Empire State Plaza
• Staff member will also be responsible for sorting materials for retention and storage in accordance with Department guidelines. This process includes stacking and storing secure materials, which involves regularly lifting boxes. Procedures also include the disposition of records to the secure scrap contractor on a loading dock, with the use of hand trucks, carts, and pallet jacks
• Operations Assistant 2 will oversee work being performed by agency drivers to clarify delivery addresses and give instructions, as needed. Staff member will also be responsible for the delivery and pick up of test materials at Albany area schools on a backup basis
• The staff member will also provide backup to the Administrative Specialist 1, including monitoring a shared email inbox for important correspondence, when necessary

Minimum Qualifications NON-COMPETITIVE MINIMUM QUALIFICATIONS:
One year of service as a Facility Operations Assistant 1 or Motor Vehicle Operator

OR

Two years of full-time, verifiable experience in custodial, grounds, or maintenance operation or assisting in a journey-level trade. When required to operate motor vehicles, incumbents must possess a valid New York State driver's license appropriate for the type of vehicle being operated.

PREFERRED QUALIFICATIONS:
Incumbent must possess a valid New York State driver's license.
