Job Specifics
Duties Description The Office of Audit and Risk Management is responsible for administering a comprehensive audit and review program that provides assurance and consulting services to management staff. As the Department carries out key initiatives to transform the way services are delivered to partner agencies and to the public, this position will play an important role in ensuring the success of these modernization efforts.
The Administrative Assistant 2 duties in Audit and Risk Management will include but are not limited to the following:
• Establishes work procedures or schedules needed to organize the administrative
• function and maintain administrative workflow.
• Sets up and manages files related to administrative activities and completes and
• submits forms.
• Tracks the status of audits by external entities, monthly and quarterly reports, and other
• activities using software tools and reminds staff of upcoming deadlines.
• Tracks HIPPA incidents, both internal and external
• Sets up meetings, prepares materials for meeting participants, and prepares meeting
• minutes, as needed.
• Formats reports, checks grammar and spelling, and reviews them for completeness;
• finalizes them; and distributes them to appropriate staff.
• Monitors shared mailboxes and routes communications to appropriate staff.
• Creates and maintains and enters information into spreadsheets.
• Makes copies, scans documents, collates and binds documents, and distributes them to
• agency staff as needed.
• Orders office supplies and maintains inventories.
• Arranges for repairs of office equipment and work orders submitted to DCS building
• administration.
• Arranges for staff participation in off-site training conferences and other off-site
• meetings.
• Prepares and updates contact lists, logs, and inventories, among other things.
Minimum Qualifications REASSIGNMENT QUALIFICATIONS:
Current Department of Civil Service employees with one year of permanent, contingent permanent, or 55 B/C service as a/an Administrative Assistant 2. if less than one year, you must be currently reachable on the Administrative Assistant 2 eligible list for the Albany location if one exists.
COMPETITIVE QUALIFICATIONS:
You must be reachable on the current eligible list or eligible for transfer.
70.1 TRANSFER QUALIFICATIONS:
One year of permanent, contingent permanent, or 55 B/C service in a title eligible for transfer and determined to be similar by Civil Service.

SUBSEQUENT 55B/C QUALIFICATIONS:
A subsequent 55 B/C appointment may be considered if you have one year of permanent, contingent-permanent, or 55 B/C service in an eligible position allocated to Grade 13. To be considered, you must provide a copy of your letter of eligibility with your response.
PREFERRED QUALIFICATIONS
• We believe a successful candidate would need at least one year of service in a lower-level administrative position to successfully perform this position. Prior service in a governmental organization is preferred.
