Job Specifics

Duties Description The Training Data Assistant supports the Training Unit in the management and reconciliation of training data within the Statewide Ethics Training Application (SETA). SETA is the application utilized to track the ethics training compliance of over 330,000 employees statewide. The Training Data Assistant is responsible for data entry, researching and resolving data discrepancy issues, managing the overall quality control of training data, and assisting users of the system through outreach and helpdesk support.

The Assistant is also responsible for auditing and reporting on training data, supporting trainers, and ensuring data accuracy and compliance.

Data Management & Maintenance
•Accurately enters data into databases and systems, ensuring data integrity and consistency.
•Maintain and update databases, ensuring data is organized and accessible.

Data Extraction & Reporting:
•Create reports, extract data, and format data for various purposes, including training needs assessment and program evaluation.
•Follow protocols and internal controls for handling training data and ensuring compliance with relevant regulations.

Training Management Support:
•Maintain training records and completion data within the Statewide Ethics Training Application (SETA).
•Assist with the collection, organization, and validation of training participation and completion data.
•Generate routine and ad hoc reports related to training participation, compliance, and program performance.
•Support the monitoring and reporting of trends related to training.
•Assist in maintaining data integrity by identifying and resolving data discrepancies.
•Support the administration and tracking of agency reporting requirements related to ethics training compliance.
•Maintain documentation related to training procedures, reporting processes, and performance measures.

Trainer Support:
•Monitor and respond to shared email inbox requests
•Provide administrative support as needed to live training deliveries
•Perform other duties as assigned.

Training Evaluation Support:
•Compile and analyzes participant feedback data to identify and report on trends, strengths, and opportunities for improvement.
•Support the development and maintenance of training evaluation tools, surveys, and data collection instruments.
•Track and reports evaluation results to support continuous improvement efforts.
•Support the creation of reports and dashboards.
•Monitor evaluation data and assist with the development of strategies to improve engagement and participant response.
•Assist in establishing and monitoring performance related indicators related to training compliance, effectiveness, and engagement.
•Support special projects including studies and surveys, as assigned.

User Support:
•Interact with various stakeholders, including trainers, trainees, and IT staff, to ensure smooth training operations.
•Contribute to the development and improvement of training processes and procedures.
•Provide assistance to users of SETA, answering queries about schedules, enrollment, training rosters and completion information.

Other Responsibilities:
•Document Management: Organize and archive training-related documents, both physical and digital.
•Perform other duties as assigned in support of the agency’s mission or other program areas.

Minimum Qualifications •Education: Bachelor’s degree or 3-5 years relevant experience.
•Technical Skills: Proficiency in data entry, database management, and Microsoft Office Suite (Excel, Word, PowerPoint).
•Organizational Skills: Ability to manage multiple tasks, prioritize work, and maintain detailed records.
•Attention to Detail: Accuracy and meticulousness in data handling and documentation.
•Communication Skills: Clear and effective communication, both written and oral.
•Problem-Solving: Ability to identify and resolve data discrepancies or training-related issues.
•Experience: Prior experience in data analytics and data discrepancies preferred.
