Job Specifics
Duties Description This position will support the Public Transportation Bureau (PTB). The Office Assistant 2 (calc) will provide general and administrative support to ensure efficient operation of the bureau. This position will play a vital role in supporting staff, maintaining organized records, managing communications, and assisting with routine operational tasks. Under the direct supervision of the Director of the Public Transportation Bureau, the selected candidate will work independently and may also receive assignments from the Deputy Director and three Section Heads (Service and Oversight; Financial Support; and Strategy and Development Sections). Duties and responsibilities include, but are not limited to:
• Greet and assist visitors, answer phones, and direct inquiries appropriately;
• Maintain and organize physical and electronic filing systems;
• Prepare and distribute routine correspondence and documents;
• Schedule meetings and take notes, manage calendars, and coordinate logistics for events;
• Monitor and order office supplies; maintain inventory and supply rooms;
• Sort and distribute incoming mail and prepare outgoing mail/packages;
• Support data entry, database updates, and report preparation;
• Obtain appropriate approvals for staff approved travel; assist with reconciling travel expense reports through the Statewide Financial System (SFS);
• Assist with coordination of employee training, awards, and accomplishments;
• Photocopying, scanning, and compiling reports/packets as needed;
• Assist with onboarding new staff, including preparing materials and coordinating logistics;
• Assist and coordinate responses to Freedom of Information Law (FOIL) requests;
• Maintain confidentiality and ensure compliance with office policies and procedures;
• Other related duties, as assigned.
Responsibilities may include serving a role within the Incident Command System to support the department’s response to regional and statewide emergency situations.
Minimum Qualifications This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS).*
To be considered for appointment through NY HELPS, or 55 b/c, candidates must meet the open-competitive minimum qualifications for this position. The qualifications are:
One year of experience where most work time is spent performing mathematical operations, and/or clerical activities related to mathematical operations.
Candidates may also be qualified for permanent competitive appointment if reachable from the appropriate Civil Service eligible list or eligible for reassignment or transfer in accordance with Civil Service Law.
Additional Comments *This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS). For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply.
At a future date (within one year of permanent appointment), it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.
