Job Specifics
Duties Description Under the general supervision of the Regional Director, duties of the Administrative Assistant 2 include but are not limited to the following:
• Supervise clerical staff of the Regional Director’s Office.
• A working knowledge of the Microsoft Office suite of programs is required and experience working with the State Financial System is preferred.
• Review all correspondence to and from the Regional Director’s office and process as needed.
• Review correspondence for correct grammar, punctuation, formatting, style, and clarity.
• Update Delegation letters, Chain of Command letters, Contact lists, Organization Charts and Power Points.
• Actively maintain the correspondence log.
• Type, file and track all correspondence to and from the Regional Director and the Regional Director’s staff in a timely manner and in coordination with the Commissioner’s office.
• Manage the files of the Regional Director’s Office, both hard copy and electronic.
• Serve as the initial contact for officials and their representatives from all levels of government and for the general public.
• Search for documents for Freedom of Information Law )FOIL) requests in Executive files when requested.
• Answer all calls to the Regional Director’s office and direct accordingly.
• Keep all Regional Director’s activities on a timely schedule.
• Prepare timely reports for the Regional Director, Executive office staff and the Main Office.
• Monitor incoming webmail and directed to appropriate staff for response
• Be prepared to take training as directed to improve skills, identify training needs of subordinates and train subordinates in office procedures.
• Respond to inquiries and direct questions to appropriate regional group.
• Direct all press/media calls to the Public Information Officer (PIO) and Director of External Relations.
• Prepare memoranda on non-technical matters.
• Submit EM30 vehicle use forms and Smartphone request forms to Main Office for review and an approval.
• Order office supplies and keep track of the Regional Director’s office budget and P-Card purchases.
• On a daily basis, review newspapers for transportation news clippings and forward to Regional Director, office staff and Main Office Communications.
• Make travel arrangements for the Regional Director.
• Maintain the Regional Director’s calendar. Coordinate with internal/external parties for scheduling meetings. Arrange conferences and or meeting; assemble and coordinate background materials for meetings and conferences using Webex or Teams. Assist to set up for in-person meetings.
• Assist the Regional Director Assistants, and Public Information Officer(PIO) as needed.
• Responsibilities may include serving a role within the Incident Command System to support the department’s response to regional and statewide emergency situations.
Minimum Qualifications To be considered for permanent appointment, candidates must be reachable on the current Civil Service eligible list or be eligible for re-assignment, transfer or promotion in accordance with Civil Service Law.
Additional Comments An additional downstate adjustment of $4,000 annually in addition to the listed salary range applies.
