Job Specifics
Duties Description Position Summary:
Assists and supports three different program coordinators within the Childhood and Early Childhood Education Department by implementing policies and procedures and maintaining efficient workflow. Resolves day-to-day operational problems and responds to phone calls relevant to graduate program, student teaching coordination and undergraduate student advisement. Sorts paper and electronic forms, organizes, expedites and follows up on projects and coordinates information of all three programs by acting as liaison among coordinators, faculty, administrative staff and the public. The schedule for this position is 8a.m.-4:30p.m. Monday through Friday.

Major Responsibilities:
Assist and Support the Administrative Assistant 1
• Answer telephones and greet students, faculty and visitors.
• Respond to questions concerning programs and provide general college information.
• Provide program materials and forms as requested.
• Sort and distribute mail.
• Organize and carry out duplicating requests.
• Maintain supply of department forms for distribution.
• Create, maintain, run and print student and department records/reports.
• Serve as a liaison to the department chair and advising, Master of Science in Teaching program (MST), and student teaching coordinators.
• Learn and track compliance with ever-changing curriculum, policies and procedures across UG Advisement and MST and student teaching placements.
• Support correspondence and calendars of the advisement coordinator, MST coordinator, and student teaching coordinator.
SUNY Cortland Banner Computerized System & Other Platforms (Argos, Slate)
• Access student records as needed.
• Assist students with online registration by checking student eligibility for restricted courses and lift flag restrictions when eligibility is determined.
Data Entry and Reporting
• Assist in monitoring course demand for undergraduate students.
• Track degree completion for graduate students.
• Track placement of student teachers all over NYS.
Student Filing System – Assist Graduate Coordinator for MST Program
• Access and maintain student files. Manage files related to undergraduate student advisement (approximately 600 students/year), graduate student admissions and advisement (approximately 85 enrolled students and numerous inquiries about program), and student teaching (working with approximately 120-150 student teachers per semester).
• Create student folders and maintain alphabetized system.
• Process all graduate applications, graduation checklists, and transfers for the Childhood Education Graduate program.
Assist Department Student Teaching Coordinator
• Facilitate all correspondence for the Student Teaching program.
• Track student teaching data.
• Assist the undergraduate advisement coordinator by maintaining faculty advising lists/loads. Process forms associated with academic advisement, file paperwork for student records, utilize Banner to retrieve student files, and record/process change of major forms and applications to teacher education programs.
• Maintain tracking information for department dispositions.
• Process undergraduate student forms (i.e. change of majors, course substitutions, undergraduate degree conferrals).
• Aid the Childhood/Early Childhood Education Department faculty and staff, SOE’s Deans’ Office, and various other offices within the School of Education with occasional work related tasks as needed.
Preferred Qualifications:
Knowledge of Microsoft access, programming (basics) html, CSS, javascript, Brightspace, Microsoft Publisher, Anthology CTE system, Adobe creative suite, Google sites, Photoshop, Illustrator, Canva, TAS
Knowledge, Skills and Abilities (KSA’s) (not minimum qualifications, but KSA’s needed to successfully perform the responsibilities of the position):
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
• Knowledge of Banner 9, Argos, Slate, OnBase, Shares Drive, Microsoft OneDrive, Microsoft Teams, Adobe Acrobat, Outlook Calendar, Webex, Reservation System, Formstack, Pharos printing, Degree Works, Dymo, and mail merge.
Strong organizational and time management skills.
• Excellent communication skills, both written and verbal.
• Attention to detail for problem-solving and data analysis.
• Ability to prioritize tasks and work independently.
Minimum Qualifications Appointment to this position could be a permanent competitive appointment or a permanent non-competitive appointment.
1. Permanent Competitive Appointment Options:
You must hold or have held the title of Office Assistant 2 (Keyboarding) on a permanent basis or be reachable on the full-time NYS Civil Service list and respond to canvass letter that will be sent to people on the eligible list. You may also qualify if you are permanent in one of the Office Assistant 2 titles or Library Clerk 2. If you hold one of these titles, you must also pass the Civil Service typing test, which can be administered in the Human Resources Office.
Section 70.1 Transfer: Candidates must have one year of permanent competitive or 55b/c service in one of the following titles: Administrative Assistant 1 series, Office Assistant 2 series, Library Assistant 1 and/or Payroll Assistant.
2. Non-Competitive Appointment Option:
This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS). For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply. At a future date (within one year of permanent appointment), employees hired under NY HELPS will have their non-competitive status converted to competitive status, without having to compete in an examination. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.
NON-COMPETITIVE QUALIFICATIONS-To be considered for appointment through NY HELPS, or 55 b/c, candidates must meet the open-competitive minimum qualifications for this position.
This position may be designated 55 b/c and is subject to verification of applicant eligibility.
The minimum qualifications for this title are:
One year of clerical experience where most work time is spent performing keyboarding, data entry, chart compilation or arrangement, or various tasks involving typing into computerized systems. The selected candidate must pass a keyboarding test that demonstrates the ability to enter text at a rate of at least 30 words per minute with at least 96% accuracy by completion of probation.
