Job Specifics
Duties Description Under the supervision of a higher-level personnel the Administrative Assistant 2 will serve as the administrative lead for the Regional Maintenance department.
Duties include, but are not limited to:
• Oversees the maintenance work order inventory program for the Long Island region.
• Tracks and coordinates assignments and works self-sufficiently to resolve competing priorities.
• Ensures proper documentation is completed to guarantee the accurate record keeping of warehouse inventory as it receives park requisitions for supplies.
• Completes monthly reports for each maintenance shop; including the emergency equipment inspections and in-house safety trainings.
• Prepares yearly budget projections based on park needs, by reviewing the department’s prior and current needs.
• Manages accounts payable operations for several departments, which includes reviewing invoices to ensure accuracy of all billing and entering into Statewide Financial System (SFS).
• Monitors and tracks compliance for state mandated trainings. Coordinates completion attestation forms for regional personnel.
• Assists employees with completion & submission of LATS timecards, reviews all timecards for accuracy.
• Collaborates with the Health and Safety department to coordinate all of the annual employee health exams.
• Schedules interviews and coordinates onboarding and offboarding tasks.
• Tracks employee evaluations, prepare documents, and file completed evaluations.
• Supervises and trains staff.
• Administrative support includes, but is not limited to, answers the phones, maintains filing systems, data entry, prepares and distributes reports, scans documents, and resolves day-to-day operational problems.
• Other related duties as assigned.
Minimum Qualifications LIST APPOINTMENT: Candidates must be reachable on the current Civil Service eligible list.
PROMOTION: one year of service as Administrative Assistant 1 (Various Language Parenthetics).
REASSIGNMENT: You must be a current NYS Parks employee and have one year of permanent competitive or 55b/c service as an Administrative Assistant 2.
TRANSFER: Candidates must have one year of permanent competitive service in a title eligible for transfer via Section 70.1 of the Civil Service Law.

Please note that under Civil Service Law, an employee cannot have two consecutive upward 70.1 or 52.6 transfers without an intervening eligible list appointment if such transfers would exceed two salary grades.
PROVISIONAL APPOINTMENT: If there is no appropriate eligible list of at least three people willing to accept permanent appointment for this geographic location, the Department may nominate a qualified person for a provisional appointment.
Provisional Appointment Qualifications: You must be a current New York State Parks and have had 45 days of permanent competitive, non-competitive NY HELPS*, or 55-b/55-c service as an Administrative Assistant 1, Administrative Assistant 1 (French Language), Administrative Assistant 1 (Russian Language), Administrative Assistant 1 (Spanish Language), Administrative Assistant Trainee 1, Administrative Assistant Trainee 1 (French Language), Administrative Assistant Trainee 1 (Russian Language), Administrative Assistant Trainee 1 (Spanish Language), Administrative Assistant Trainee 2, Administrative Assistant Trainee 2 (French Language), Administrative Assistant Trainee 2 (Russian Language), Administrative Assistant Trainee 2 (Spanish Language), Examination Composition Assistant, Law Department Document Specialist, Office Assistant 2-Keyboarding, Office Assistant 2-Keyboarding (Spanish Language), Secretary 1, or Secretary 1 (Spanish Language).
Candidates appointed provisionally must take the next scheduled Civil Service examination for this title, and their score must be reachable on the resulting eligible list before they can be permanently appointed. Candidates who do not pass the examination or achieve a reachable score may not be retained.
NON-COMPETITIVE PROMOTION (NCP):
As required by the New York State Department of Civil Service, we are posting for this position to determine if there are any qualified OPRHP employees interested in a permanent appointment to the position. If there are three or fewer qualified candidates interested in the position who meet the promotion minimum qualifications, a permanent appointment can be made pursuant to Section 52.7 of the Civil Service Law.

• Must be experienced with Microsoft Office, including Word, Excel, and Outlook
