Duties Description The New York State Department of Financial Services seeks to build an equitable, transparent, and resilient financial system that benefits individuals and supports business. The Department of Financial Services is seeking candidates for the position of an Administrative Assistant 2 in Mortgage Banking. Duties include, but are not limited to, the following:
• Drafts correspondence for the Deputy Superintendent, in response to general notifications received from regulated entities and state regulatory agencies relating to out-of-state enforcement actions, requests for clarification on licensing requirements, statistical information or mortgage guides, and superintendent communications and legislative responses;
• Maintains the Deputy Superintendent’s calendar and schedules meetings with individuals external to the agency. Also, schedules internal meetings with executive staff of the agency, business unit staff meetings and coordinate use of business unit conference rooms;
• Reviews incoming correspondence requesting legal interpretation and prepares inter-office memorandums for submission to legal for official staff interpretation;
• Processes automated requests for legal opinions through the Counsel Assignment Tracking System database by facilitating the upload of memorandum and associated attachments to the system;
• Manages the routing and tracking of outgoing inter-office mail and round robins by maintaining an electronic log of all outgoing inter-office mail, round robins, reconciling the log monthly against legal and executive round robin logs and reporting outstanding items to business unit managers and supervisors;
• Facilitates the management and coordination of daily incoming correspondence and application related documents from internal and external sources, including logging and recording information relating to correspondence and applications into Mortgage Banking’s Access-based Mail-Log Database;
• Facilitates the distribution of incoming mail to appropriate staff personnel;
• Screens and directs incoming telephone calls for Deputy and Assistant Deputy Superintendents. Responds to incoming inquiries from licensees, registrants and applicants by providing information to specific web-based instructions and guidelines published by the Department or redirecting such calls to properly designated individuals within Mortgage Banking or elsewhere in the Department, if applicable;
• Processes required Project Sunlight reports and maintains documentation demonstrating compliance with reporting requirements;
• Manages and implements centralized filing process for the Deputy Superintendent and business unit supervisors to facilitate orderly retrieval of critical business documents and assists in requesting information from archive;
• Provides responses to incoming inquiries from Mortgage Loan Originators (MLO) applicants and other individuals seeking MLO licensing information including but not limited to continuing education, pre-licensing education, criminal background check, fees, surety bond requirements and application status; and
• Prepares monthly Excel based Tracking Report and Microsoft Outlook Calendar Schedule detailing outstanding Internal Control, Compliance or Training Projects business unit is responsible for completing within the next sixty (60) days.
Minimum Qualifications Appointment method:

Transfer: Candidates must have one year of permanent competitive service in a title eligible for transfer via Section 70.1 of the Civil Service Law. Please note that under Civil Service Law, an employee cannot have two consecutive upward 70.1 or 52.6 transfers without an intervening eligible list appointment if such transfers would exceed two salary grades.

Salary: $58,066 - $72,519
Positions located within the New York City metropolitan area, as well as Suffolk, Nassau, Rockland, and Westchester Counties, are also eligible to receive an additional $4,000 annual downstate adjustment.
