Duties Description • Handling all revenue and reports (reconciling daily and weekly reports; copying and filing all receipts and related paperwork; entering into online reporting system)
• Banking: making deposits and maintaining change funds
• NHT and P Card reconciliation and bookkeeping (maintaining all records for audit)
• Tracking NHT account (sub-accounts, restricted and un-restricted; including active tea program accounting)
• Purchasing and ordering; all required bookkeeping and paperwork; tracking discretionary allocation in BETS; collecting quotes including MWBE vendors
• Tracking utility allocations; collecting delivery tickets and sending to Business Office
• Event rentals: meeting with prospective clients, managing all contract and regulation paperwork, tent permits, working with confirmed clients on arrangements for tent/catering/porta let delivery and removal; scheduling staff; handling all scheduled payments (deposits/balances); pre/post inspection of rental area. Also photography permits (wedding photos around mansion)
• Vendor permits (car show, concerts, etc)
• Administrative assistance with program outreach and publications (calendars, fliers, eblasts, social media, etc)
• As needed, to support Visitor Services Staff site admission and shop registers, 3 credit card processors: troubleshooting, assisting with internal controls on cash drawers
• Learning the site’s basic house tour and giving tours as needed to supplement interpretive staffing; assisting with interpretive programs (theme tours, family programs, craft programs, car show, etc)
• Assisting as needed with operation of site’s visitor services and reception desk, including site admission, FoMM shop sales, security (gatekeeping), answering phones, informing callers and patrons of programs and amenities, taking program preservations, etc

• Excellent interpersonal skills: ability to work and communicate effectively and productively with diverse people (staff, visitors, constituents of all kinds)
• Careful, accurate, and articulate delivery of site’s history and interpretive approaches
• Ability to stay on task, follow instructions and complete all assignments on schedule
• Flexibility, including ability to accept and make use of productive suggestions and feedback
• Basic proficiency with Microsoft Office package: Word, Excel, Outlook and Publisher
• Experience and skills with social media highly desirable (Facebook)
