Minimum Qualifications • Must be a US citizen or foreign national eligible to work in the United States
• Must be 18 years of age or older
• Must be currently attending a New York State college, university or graduate program, or be a resident of New York State attending a college, university or graduate program outside of New York State
• Must have completed a minimum of one (1) year as a student at a degree-granting two or four-year college or university (completion of one year’s worth of academic credits over a more extended period of time may qualify part-time students)
• Or currently enrolled graduate student or accepted in a graduate degree program
• Must have a minimum grade point average (GPA) of 2.5 or equivalent to a C.

• Major in Business Administration or Financial Studies

Duties Description The Office of Information Technology Services (ITS) is seeking to fill 2 positions within the Financial Accounting Office.

The duties of these positions include, but are not limited to:
• Collecting and Reviewing ITS Asset Receiving Forms from Program Areas
• Entering the capital asset data in Statewide Financial System (SFS) -Asset Module (AM) on a perpetual basis
• Reviewing Purchase Orders, Contracts, Receiving Reports, Invoices, and payment information
• Applying Capitalization Threshold Criteria - $5,000 and $40,000 cost with useful life of 2 years or more
• Working with OGS to get OGS assigned Tag Numbers
• Working with designated Property Control Manager or Program Staff at facilities to get Tag numbers and Location
• Working with Program Staff to get estimated useful life information
• Estimating Historical Cost of transferred and/or donated capital assets
• Interpreting and applying accounting rules for Leased Equipment and entering the information in SFS-AM
• Ensuring that assets are tagged in accordance with ITS, OGS, and SFS-AM policies
• Assisting in the development and documentation of ITS Asset Management policies and procedures.
• Maintaining SFS-AM location codes and cross-walks to ITS Location Codes
• Establishing and Reviewing Depreciation schedules
• Modifications - changes (corrections, updates, additions, deletions) to existing capital asset data in SFS-AM
• Recording the Disposal/Retirement/Surplus of capital assets
• Recording the Sale of capital asset
• Recording the Trade-in of capital asset
• Running Reports in SFS-AM, as needed

• Communication and possible fieldwork including site floor-to-book inventory audits
• Data Review and Analysis
• Computer Skills – Excel & Access, familiarity with automated financial systems
• Accounting Knowledge – Capital Assets, Inventory control and Depreciation

Additional Comments Fingerprinting will be required of hired candidates. Selected candidates who are new or returning to NYS service may be required to pay for fingerprinting fees.
