Minimum Qualifications There are no education or experience requirements.
Prior to being considered for appointment, you will be required to pass a keyboarding test that demonstrates your ability to enter text at a rate of at least 30 words per minute with at least 96% accuracy.

Duties Description 1. Typing letters, memos, and reports on correct letterheads.
2. Schedules meetings in the electronic calendar/scheduling system; schedule conference calls, screen incoming phone calls, direct calls to appropriate staff persons.
3. Scan documents to the Centralized Electronic Document Repository (CEDR).
4. Open daily mail and distribute to staff.
5. Process checks for FOIL, water withdrawal and well driller through Oracle system.
6. Process travel expense accounts in the electronic data system for Bureau staff.
7. Maintain assignments on excel spreadsheet. Follow up on spreadsheet assignments.
8. Apply for state credit card for new bureau employees who will travel.
9. Distribute paychecks on paydays.
10. Process/pay bills including travel accounts for bureau staff. Enter into spending report in bureau’s excel spreadsheet.
11. Solicit supply needs from bureau staff monthly and order supplies as needed with Bureau Director approval.
12. Register visitors into Passage Point.
13. Help with phone coverage backup for other division secretaries as needed.
14. Assist with special assignments.
15. Represent Bureau and/or Division on various workgroups.
16. Send e-mail to bureau staff at beginning of work week for their attendance schedule for the upcoming week and email and post to director weekly.
17. Follow up with Bureau staff on letters for Commissioner, Deputy Commissioner. Ensure due dates are met.
18. Assist Bureau Director with calendar, scheduling meetings, vehicle reservations and meeting notes.
19. Maintain records for retention center and warehouse for archived files/records.

Additional Comments Exact hours to be discussed at the interview. Position is seasonal/temporary and expected to last through March 31, 2018 although funding will determine actual ending date, which could be sooner.
