Minimum Qualifications Minimum Qualifications:
1. Two (2) Years of satisfactory secretarial experience OR
2. Satisfactory completion of a two year course in secretarial science from a business school registered with the NYS Education Dept., from a NYS Community College or technical institute recognized by the NYS Education Dept. as following acceptable educational practices OR
3. A satisfactory combination of 1 & 2 above
May be filled from a mandatory reemployment list if one is in effect at the time of appointment
Operating Needs:
Proficiency in Microsoft Office Suite and Outlook preferred
Duties Description Provide principal administrative support to the Vice President for University Development; front desk reception including telephone, mail routing and greeting of guests; maintain and manage appointment calendars for the Vice President and Office Staff; arrange meeting logistics and necessary materials to include the compilation of reports and distribution of agendas; Arrange and oversee catering services as required for meetings; arrange divisional meetings and workshops as required and oversee support services; coordinate travel arrangements and reimbursements for the Vice President’s Office including domestic and international travel; develop itineraries as required; order supplies and services via State credit card or purchase requisitions, initiate payments and verify disbursements; monitor State accounts on a regular basis; process disbursements against specified Foundation allocations and monitor accounts on a regular basis; remain up to date on Foundation and State payment guidelines; handle confidential personnel paperwork; prepare, edit and/or proof correspondence as directed; assist with internal and external event coordination; maintain and update divisional data bases; write minutes and prepare summaries of meeting conclusions / courses of action; hire and train work study students; high degree of diplomacy, tact, and confidentiality required.
