Minimum Qualifications MINIMUM QUALIFICATION: Candidates must have at least five years of progressively responsible secretarial experience, including well-developed secretarial, administrative, and computer skills, the ability to determine office priorities, and the capacity for independent action, judgment and confidentiality. In addition, candidates must be tactful and discreet in handling complex and controversial matters and have an awareness of the need for close and confidential operating procedures within the office.

Duties Description The New York State Education Department’s Office of the Commissioner of Education is seeking applicants for an exempt class Secretary position. The responsibilities of this office are diverse, extensive, and demanding and require the secretarial and administrative assistance of an extremely organized, competent and efficient staff. The incumbent of this position must be comfortable with the demands of working in an office that is at the center of activities concerning the daily operations of the Department and be extremely flexible to accommodate constantly changing priorities and workload. The Secretary will coordinate administrative office operations and discreetly, tactfully, and confidentially address sensitive issues. The Secretary will work independently and in a confidential manner to perform the following duties, including but not limited to:

• Coordinate, analyze, prioritize and schedule the Commissioner’s calendar which includes visits to school districts, meetings with outside constituents and speech engagements;
• Schedule meetings and conferences; gather required materials in a timely manner;
• Manage and schedule the monthly meetings for Commissioner with Department stakeholders;
• Manage and schedule the Board of Regents’ monthly briefing calls;
• Gather and provide material for the Commissioner to use in developing talking points for speech preparation;
• Assist in preparation and distribution of letters, information and reports to the Board of Regents; Respond to callers; and prepare correspondence on the Commissioner’s behalf;
• Coordinate office support activities including the flow of assignments through the Department’s electronic correspondence tracking system; and assign work and monitor assignments to ensure timelines are met and priorities are addressed; and
• Work with the Executive Deputy Commissioner and the OMS Director of Operations on the day to day operations of the office.

Additional Comments CONDITIONS OF EMPLOYMENT: This will be an exempt position and the incumbent will serve at the pleasure of the Commissioner of Education. The incumbent of this position will need to be available to work outside of normal business hours on an as needed basis. Applicants should be aware that changes in negotiating units may affect their salary, insurance, and other benefits. Filling of this position is contingent upon Division of Budget approval.
