Minimum Qualifications Candidates must have permanent appointment in a Secretary 1, SG 11, NY State classified position (or be eligible for transfer) or be reachable for appointment on the current NY State Civil Service eligible list for Secretary 1, Full Time - Rochester location.
Duties Description Position Summary:
This position reports to the Dean’s secretary and will work closely with REOC Administrators, staff and faculty.
Essential Functions:
Resolves day-to-day operational problems; coordinates information flow by acting as liaison among key directors, staff, other employees, and the public.
Schedules appointments, organizes and maintains paper and electronic files.
Arranges conferences and travel reservations for office personnel.
Schedules department meetings, events, and coordinates room reservations.
Manages electronic calendar systems.
Attends department meetings; records, distributes and archives meeting minutes.
Composes correspondence and reports; reviews and edits documents.
Tracks and creates required Human Resources forms (new hires, amendments, extra service and so on).
Orders and dispenses office supplies and ensures printing materials are replenished.
Assembles workshop materials, such as orientation folders for students.
Enters data into Banner and scans documents into electronic files.
Creates and maintains distribution lists.
Provides occasional coverage in the Welcome Center; serves as receptionist, greets and welcomes guests, answers phones, provides information and/or direction to visitors, students, faculty and staff, on occasion.
Greets visitors and callers, handles their inquiries, and directs them to the appropriate persons according to their needs.
Communicates with internal and external populations (in person, by phone, and by e-mail).
Contributes to committees and teams.

Possesses strong computer/word processing skills (ability/familiarity with Microsoft Office).
Possesses excellent organizational skills; prioritizes work, works independently, multi-tasks and meets deadlines.
Maintains excellent customer service skills; communicates well and maintains confidentiality.
Has excellent oral and written communication and strong interpersonal skills.
Works effectively with faculty, staff, students and the public.
Analyzes data and information well.
Is capable of diplomacy, tact, and attention to detail.
