Minimum Qualifications Candidates must have permanent appointment in an Secretary 1, SG 11, NY State classified position (or be eligible for transfer) or be reachable for appointment on the current NY State Civil Service eligible list for Secretary 1, Full Time - Brockport location.

Duties Description Position Summary

Performs all secretarial support for Student Union & Activities team consisting of 5.5 staff members and 3 graduate assistants.

Essential Functions

Performs support duties: prepares reports and notices, schedules appointments, and solves administrative problems for Student Union & Activities.
Prepares administrative & budgetary forms and reports.
Establishes and maintains required databases, hardware and software and special projects and reports. Utilizes Banner (the campus-wide student information system), CBORD's management system, and EMS (event management software).
Provides reception area coverage; answers, screens, and problem-solves calls and in-person visits from various constituents.
Serves as the primary support staff member for the central office staff.
Maintains staff roster and shares with stakeholders as required.
Prepares student employee and student organization grade reports for professional staff members.
Completes and maintains departmental time and attendance, travel, and procurement records.
Manages departmental budget.
Manages conference registrations, hotel accommodations, and transportation for Student Union & Activities staff:  processes all travel vouchers and reimbursements.
Processes all appointment, renewal, and extra-service paperwork.
Oversees Student Employee Program for main office: manages and supervises student team.
Inputs faculty and staff space reservation requests.
Completes Property Control/Audit of Assets.
Monitors and maintains all copier’s maintenance and supplies for all departmental offices.
Takes, prepares and distributes departmental meeting minutes, along with departmental committees such as Welcome Week, Homecoming, and Courage Bowl.
Maintains supply inventory.
Monitors and maintains P-card purchases and reconciliation.
Processes mail & distributes when needed.
Maintains personnel files.
