Salary RangeFrom $51773 to $64657 Annually
Minimum Qualifications EITHER: 1) Reachable on the Civil Service eligible list; OR 2) Eligible for reassignment by virtue of having permanent competitive service as a Secretary 2 (SG-15); OR 3) Eligible for transfer under the provisions of Sec 70.1 of the Civil Service Law.
Duties Description The duties of the Secretary 2 include, but are not limited to, the following:
• Sort, file and deliver physical and electronic mail
• Schedule and coordinate internal and external meetings including, but not limited to, Investment Advisory Committee (IAC), vendor and asset manager meetings
• Prepare quarterly Board meeting materials for staff and forward to Executive department
• Assist with presentation development and coordinate technology needs for the department, meetings and presentations
• Maintain and update department agenda/calendar
• Monitor and maintain office supplies
• Assist individuals with their business travel plans including prior approvals and travel reimbursement
• Create and update reports as needed
• Monitor and maintain vendor and external asset manager invoices for timely payment and assist with the coordination of annual contract renewals
• Prepare purchase request forms as needed
• Renew department periodical subscriptions
• Monitor and maintain administrative budget
• Update the NYSTRS' gift policy letter and send annually to all System vendors, managers, brokers and consultants
Additional Comments The position of Secretary 2 will provide support to the executive, management and other professional staff by carrying out the day-to-day administrative activities required to accomplish the work of the investment areas. The position requires the incumbent to function independently with little direction or review of their work. • Proven experience as a secretary or administrative assistant
• Working knowledge of office equipment, printers and fax machines
• Proficiency in MS Office (MS Word, MS Excel, MS PowerPoint, etc.)

• Attention to detail and problem solving skills
• Excellent written and verbal communication skills
• Strong organizational skills and the ability to multi-task
• Sensitivity to confidential matters
• Demonstrated ability to work well with all levels of internal management, staff and external stakeholders
• Ability to analyze and summarize information in both narrative and numerical form
• Knowledge of System policies, procedures and functions
• Experience coordinating budgets, contracts, and subscription renewals
• Experience planning, coordinating and executing events
• Experience planning and coordinating employee travel and reimbursement their work, so good judgment is essential to fulfill this role.
