Duties Description Secretarial duties for Physical Education Department Chair, 22 faculty, 26 off-campus student teacher supervisors, and coaches who also teach part-time in the department. Supervise one full-time Office Assistant in the faculty work office and one full-time Stores Clerk II in the Equipment Room. Maintain department records, including personnel, budgets (state and IFR), student files, course scheduling and all other files related to department business; prepare appointment and extra service forms for faculty/staff; in consultation with the department chair, prepare semester master schedule, including faculty schedules, assignment of classrooms, specialized activity spaces within Park Center, the Stadium and Lusk Field House; department liaison with Park Center Building Administrator, Registrar, Dean’s office, Field Placement Office and National Aquatics; responsible for departmental purchases utilizing the NYS visa procurement card and reconciliation of the monthly credit card statement and SUNY accounting system on-line; open, sort and review mail directed to the chair; use Banner to retrieve information, acquire reports, and to lift flags for students during registration and drop/add, answer questions and inquiries by students, faculty and outside visitors, in person, on-line and by phone; type various correspondence and documents for distribution; set up meetings for department chair, faculty, and department committees; oversee all search responsibilities including setting up phone and on-campus interviews, itinerary for the interview and candidate reimbursement; coordinate department awards for Honors Convocation; submit work orders for repairs/problems, as well as key requests for faculty; process grades for independent studies, practicums and student teacher supervisors.
