Minimum Qualifications Candidates must be employed by New York State to be eligible to apply for this position.

Candidates must have permanent status as a Secretary 1, Grade 11, and be eligible for lateral transfer; OR be eligible to transfer via Section 70.1 of the Civil Service Law. In order to be eligible for a 70.1 transfer, candidates must have one year of permanent competitive or 55-b/55-c service in a qualifying Grade 9 to 13 title.

Candidates who are not transferring from a keyboarding title must possess adequate keyboarding skills (i.e., the ability to type 35 words per minute corrected) as demonstrated by passing the Keyboarding Performance Test.

Duties Description The Office of Mental Health (OMH) is recruiting to fill a Secretary 1, Grade 11, position in the Office of Financial Management, Consolidated Business Office (CBO). The CBO is responsible for consolidated cash management, purchasing, vouchering, contract and payroll services for 24 OMH psychiatric facilities, Cook Chill Production Center and Central Office. The incumbent of this position will provide administrative support services to the multiple units within the CBO. Specific duties may include, but are not limited to, the following:

Prepare, review, and distribute contract related correspondence, reports and other documents utilizing software such as Microsoft Word and Excel.

Coordinate and arrange staff meetings.

Maintain electronic and paper file system and current project assignment files. Typing and mailing projects will also be required.

Open, review, sort and distribute the contract related mail in accordance with staff assignments. Review incoming correspondence and establish follow-up deadlines.

Respond to incoming call and/or questions policies or procedures as they relate to contracts and refer calls to appropriate staff member for technical or further information.

Receive and distribute all CBO-wide contract related bulletins and announcements and coordinate all CBO-wide initiatives as they pertain to procurement.

Maintain inventory of office supplies and arrange for office equipment maintenance and service.

Assist managers with the development and documentation of Standard Operating Procedures for various units within the CBO.
