Minimum Qualifications In order to be considered for permanent appointment, candidates must be reachable on the current Civil Service eligible list or be eligible for reassignment or transfer in accordance with Civil Service Law.
Duties Description This position is located in the Administrative Services Unit.
The Office Assistant 3 Calculations duties include but are not limited to:
Oversee, manage, and assist with the preparation and processing of the Region’s purchase orders and vouchers to ensure goods and services are procured timely and payments are made promptly, all in accordance with department policies and procedures that follow State Finance Law.
Research and understand the activities of the Region’s accounting, purchasing and voucher processes in order to answer questions; explain and clarify procedures; use independent judgement to make decisions; resolve problems; and provide assistance throughout process.
Assist with the NYS Procurement Card application, Travel Card/Expense AnyWhere, and other financial programs as needed.
Create and maintain databases and reports for tracking budgets, revenue, purchases and expenditures. Compile, prepare and submit reports timely as needed.
Utilize various computer databases and programs, ie. Statewide Financial System (SFS); AS 400, WIPPER; DOT Financial Warehouse and other applicable programs including Microsoft applications.
Supervise two or more staff members.
The successful candidate must be able to work within an environment that is subject to change; establish working relationships with various levels of department staff internal and external to ensure efficiency and timeliness with transaction processing. Other duties and projects typical to the Office Assistant 3 Calculations may be assigned.
Responsibilities will include serving a role within the Incident Command System to support the department’s response to regional and statewide emergency situations.
