Minimum Qualifications Open to NYS employees with one year of permanent competitive service as an Administrative Assistant OR in a title G-16 or above deemed administrative under Section 52.6 of the Civil Service Law OR in a title G-16 or above appropriate for transfer under Section 70.1 of the Civil Service Law. The transfer cannot be a second consecutive transfer resulting in an advancement of more than two salary grades.
Qualifications for Administrative Assistant Trainee, NS:
Also open to NYS employees in a title designated appropriate for Section 70.1 or 52.6 transfer to the title of Administrative Trainee 1 or Administrative Assistant Trainee 2.
Candidates with at least one year of permanent competitive service in a title allocated to G-11 or higher who have standing on the PCO or PMI eligible lists, or who have a bachelor’s degree and are active on the PATT eligible list may be eligible for transfer under the provisions of Section 70.4 of the Civil Service Law.
Candidates eligible for consideration under the Governor's Program to Hire Persons/Veterans with Disabilities pursuant to Section 55-b/c of the Civil Service Law will also be considered. Individuals certified eligible for the 55-b/c program must possess a bachelor's degree to meet the education qualifications. Salary range above applies to candidates appointed to Administrative Assistant, G-18. The hiring rate for candidates appointed to Administrative Assistant Trainee starts at $42,143 and is based on the candidate's salary at the time of hire. Candidates hired into the traineeship will be advanced to Administrative Assistant upon the successful completion of a two-year traineeship.
Duties Description The Administrative Assistant, under the direction of a DLA department head or designee, will assist with the management of the Division and its program areas, including investigations, eDiscovery, records access (FOIL), records retention, language access and litigation. Duties will include:Assisting with the management of Investigations and Litigation by: collecting, reviewing, evaluating, analyzing, logging and filing documents associated with the investigation; conducting legal research and precedent to assist the investigator to make initial findings and recommendations; and preparing and editing correspondence.
• Assisting with administering the DLA's budget and financial plan by: overseeing the departments purchases of goods and services and maintaining records to monitor, evaluate, and control expenditures.
• Developing, implementing, and overseeing the DLA SharePoint Sites for record keeping, timekeeping, and administration of varying departmental and agency work-flow processes.
• Managing office support activities by: reviewing equipment and space needs and preparing plans to fulfill those needs; working with vendors to arrange equipment repair and replacement; and organizing central files.
• Coordinating the onboarding of new division employees by administering computer, telephone, and general office needs.
• Administration of ITS compliance with the ITS Inactive Mailbox Management Policy, including: monitoring the ITS list of inactive accounts; performing database reconciliations to ensure accurate lists are maintained; and working with Human Resources to ensure that all inactive mailboxes are reviewed before decommissioning.
• Administration of ITS compliance with the state's Language Access legal requirements, including: monitoring Language Access shared mailbox, maintaining the associated database, and coordinating responses to inquiries.
• Administration of ITS compliance with the state's Project Sunlight requirements, including: monitoring the Project Sunlight shared mailbox, monitoring the associated database, and coordinating responses to inquiries.
• Supporting the Division by preparing and designing necessary forms and templates.
• Arranging meetings and preparing agendas and presentation details related to the Division's programs areas and functions.
