Minimum Qualifications One year of permanent competitive service as a Program Aide or one year of permanent competitive service in a position allocated to Grade 11 or higher eligible for transfer under Section 70.1 of the Civil Service Law or be currently reachable for appointment from the Administrative Aide/Agency Program Aide eligible list.
Duties Description The incumbent will perform paraprofessional duties in support of the grant and contract monitoring and planning activities performed by the professional staff in the Contract Administration Unit (CAU) within the Office of Planning and Development.
• Assist Contract Management Specialists in developing boilerplate contracts for each grant administered by the Division.
o Ensure that the contract language and requirements are accurate, consistent, and in compliance with Division, Department, and State requirements.
o Ensure EO 38 compliance via inclusion of appropriate MWBE language.
• Review the Division’s tracking system to determine what necessary follow-up is required on outstanding contracts; contacts municipal and/or local governments to obtain missing forms.
• Provide direction and assistance on completing forms to grantees, and ensures that required information is accurate and received timely.
• Provide detailed reports for DOS Leadership and Executive Chamber on the status of current and past contracts.
o Collect and analyze statistics and information;
o Develop and implement methods of data analysis;
o Develop tabulations of data for analysis;
o Draw conclusions from analyzed data.
• Assist with resolving changes or amendments to executed contracts.
• Assist with administrative reviews of contract payment requests received. Verify that payment request packages are properly completed and certified. As needed, work with Contract Management Specialist 1 and/or fiscal staff to resolve outstanding financial issues.
• Perform special assignments and projects as necessary.
