Salary RangeFrom $41618 to $51188 Annually
Minimum Qualifications Permanent: Permanent service in this title, or one year of permanent competitive or 55 b/c service as a SG-9 or higher and otherwise eligible for transfer under Civil Service Law, or reachable on the Civil Service eligible list for this title.
Provisional: One year of permanent competitive or 55b/c service as an Office Assistant 1 (Keyboarding), Office Assistant 1 (Keyboarding Spanish Language), Office Assistant 2 (Keyboarding), Office Assistant 2 (Keyboarding Spanish Language), Law Department Document Specialist Trainee 1, Law Department Document Specialist Trainee 2, or Law Department Document Specialist.
Duties Description The Secretary 1 provides administrative support to the Law Enforcement and Legal Services Unit for a staff of nine people. The incumbent is also responsible for assisting with the planning and coordination of the Motor Vehicle Theft and Insurance Fraud Prevention (MVTIFP) Board meetings.
The Secretary 1’s duties will include, but will not be limited to, preparing, formatting and finalizing contracts for submission to the Office of Financial Services; utilizing the Grant Management System to upload documents and emails as needed; preparing award letters and emailing the letters to recipients; preparing, setting up and taking minutes at quarterly MVTIFP Board Meetings; and assisting members of the MVTIFP Board with travel arrangements and vouchers.
The Secretary 1 will also answer calls and direct them appropriately; assist with daily operations of the unit; serve as backup for other units within OPDF as needed; prepare and manage correspondence, memos, reports and other documents; file correspondence and general subject matter items appropriately; prepare letter merges using data systems and Word documents; submit and track purchase and travel requests for the unit; and use Microsoft Office, particularly Excel, to develop and maintain spreadsheets, edit contract packages and use PowerPoint.
