Minimum Qualifications Current NYS employee with one year or more of permanent or contingent-permanent, competitive service as a Secretary 2, OR a NYS employee with one year or more of permanent or contingent-permanent, competitive service in a position allocated to a Salary Grade 13 or above and eligible for transfer under Section 70.1 of the Civil Service Law.
Preferred Qualifications:
Excellent organizational and interpersonal skills. Polished and professional verbal and written communication skills. Proficiency with Microsoft Office, including Word, Excel and Outlook, and experience using the Statewide Financial System (SFS). Experience independently managing administrative projects, and an ability to effectively multi-task and prioritize a high-volume workload. Experience handling confidential and sensitive materials.
Duties Description The Division of Epidemiology is seeking a Secretary 2 to provide a full range of administrative support within this fast-paced, dynamic Division. The Secretary 2 will support management and staff within Division Office, and interact daily with staff from the Division’s four Bureaus and Statistical Unit, other program areas within the Center for Community Health, Department Executive Staff, and other internal and external health partners regarding communicable disease surveillance, outbreak control, response and prevention issues, and public health emergencies that impact the health and safety of NYS residents. Duties will include: coordinate and maintain complex schedules with competing priorities; schedule meetings and conferences, and arrange for appropriate space or webinars; make travel arrangements and prepare travel expense reports for Division management; coordinate routing and tracking of numerous assignments, documents and emails that come through Division office; and, answer and triage calls. The incumbent will also review and handle incoming correspondence by gathering information to prepare responses and coordinating responses from a variety of sources; maintain required information in office tracking systems; resolve day-to-day problems that impact office operations; develop and maintain electronic and paper filing systems; develop and implement procedures to streamline office operations; compile and prepare a variety of reports and other documents; conduct follow up activities, monitor progress, and provide status reports; hold the Division procurement and non-employee travel cards, and use as directed by management related to program needs, in accordance with SFS policies; and, assist with special projects as assigned.
Additional Comments Permanent, Full-time. Transfer candidates not currently serving in a keyboarding title will be required to take and pass a keyboarding examination to qualify for appointment.
