Minimum Qualifications Permanent Appointment:
One year of permanent competitive service as an Secretary 1 OR be reachable on the Secretary 1 eligible list OR have one year of permanent competitive or 55b/c service in a title eligible for transfer under Section 70.1 of the law.
Provisional Appointment:
One year of permanent competitive service Keyboard Specialist 1, Keyboard Specialist 1 (Spanish Language), Keyboard Specialist 2, Keyboard Specialist 2 (Spanish Language), Law Department Document Specialist Trainee 1, Law Department Document Specialist Trainee 2, Law Department Document Specialist, Data Entry Machine Operator, Data Entry Machine Operator (Spanish Language), or Senior Data Entry Machine Operator. In order to retain the position, provisional appointee must pass the next Secretary 1 examination and be reachable on the resulting eligible list.
Conditions of Employment:
This will be a permanent or provisional appointment. Candidates should be aware that a preferred list, transfer list, placement roster and/or reemployment roster of laid off State employees may result in a provisional appointment being revoked.
Duties Description The Oil Spill Unit of the Civil Recoveries Bureau is charged with recouping costs expended by the New York Environmental Protection and Spill Compensation Fund (the “Oil Spill Fund”) to clean up petroleum spills in NY State.
DUTIES:
• Provide administrative/secretarial assistance to the Section Head of the Oil Spill Unit.
• Update and create new case records in Access.
• Track payments and recoveries for the Unit.
• Produce monthly reports of recoveries for the AAGs and other staff in the Unit based upon Access records.
• Open, review, sort and distribute incoming mail.
• Update database with respect to incoming mail, including affidavits of service.
• Draft routine correspondence and memoranda.
• Order vouchers, costing reports and liens and lien releases from the Oil Spill Fund.
• Track lien requests and lien release requests submitted to the Oil Spill Fund.
• Maintain leave requests on Central Office and Unit calendar.
• Schedule meetings.
• Maintain inventory of supplies for the Unit.
• Maintain furniture/equipment inventory for Unit.
• Perform other duties as assigned.
