Minimum Qualifications Permanent service in this title, or one year of permanent competitive or 55 b/c service in a title SG-13 or higher and otherwise eligible for transfer under Civil Service Law.

Duties Description The Secretary 2 will provide secretarial and administrative support to the Deputy Commissioner and to the Director of the Office of Public Safety (OPS). The incumbent will be responsible for scheduling meetings, conferences and training; distributing and tracking work assignments; conducting follow-up on various assignments for the Deputy Commissioner and Director; tracking incoming and outgoing correspondence; maintaining hard copy and electronic files; and assisting internal and external customers both verbally and in writing in response to the many requests the office receives. Responsibilities include but are not limited to the following: reviewing incoming correspondence and directing to appropriate program area as needed; responding to verbal inquiries regarding OPS program areas, gathering information for meetings; tracking assignments, correspondence, work projects and reports, and following up as necessary.

The Secretary 2 also prepares draft responses for review by the Deputy Commissioner and/or Director for correspondence of a routine nature; develops and revises office procedures; provides unit managers with policies and procedures initiated by the Deputy Commissioner and assists the various managers with critical support in carrying out these directives; designs and maintains various databases for OPS including Ingenium Work station and Acadis; assists in the development of online forms for law enforcement training and other purposes; notifies training registrants via e-mail of their acceptance and assists with the formatting and preparation of training curriculum; communicates with law enforcement agencies via phone and email regarding OPS programs and initiatives; reviews outgoing correspondence to ensure compliance to agency policy; establishes and maintains both electronic and hard copy files to ensure information is easily accessible; provides guidance and direction to lower level support staff in the office; assists or handles special projects as assigned. The Secretary 2 works with a high level of independence and maintains confidentiality as needed.
